What you will be doing: You’ll report to the director, finance & administration. Directly supervises the records clerks. Responsible for management of student records, accountability and data integrity in compliance and adherence to government and management directives.
Essential Functions
- Plan, coordinate and supervise the administrative, program auditing and student records systems activities of the department.
- Provide staff training, evaluate staff center performance and recommend and implement department and personnel changes as approved by the director, finance & administration and coordinated with the manager, human resources prior to implementation.
- Provide cross-training to staff to provide adequate back-up coverage.
- Develop departmental budget; monitor and control expenditures. Review and recommend changes to budget authorizations.
- Assist in the development and implementation of new and revised policies and procedures affecting student records.
- Review and audit all assigned areas regularly for contractual compliance and effectiveness of delivery of services to students. Prepare related reports.
- Monitor the quality and accuracy of student records by ensuring forms are completed in a timely and accurate manner, data is input or posted to files; maintain reports.
- Audit student records to ensure compliance with regulations.
- Serve as the point of contact for MTC data integrity and accuracy policies.
- Respond to student and staff inquiries regarding student records; ensure Privacy Act compliance; provide technical assistance on student records as necessary.
- Maintain a safe and clean work area that models high standards for a work environment.
- Provide positive, quality customer services to students, staff and other center customers.
- Participate in student employability programs and activities.
- Support, promote, and enforce the Job Corps’ Zero Tolerance Policy.
- Promote the development of Career Success Standards by modeling appropriate behaviors, mentoring students where necessary and monitoring both positive and negative behaviors through interventions.
- Maintain accountability of students and property; adhere to safety practices.
Education & Experience
- Associate's degree and two years related experience, one of which should be supervisory. Directly related experience may be considered in lieu of formal education requirements.
- Experience with youth, excellent written and verbal communications skills and computer proficiency required.
- Valid driver’s license with an acceptable driving record.
