SUMMARY: Management Business Solutions is seeking an Executive Assistant for its non-profit client in Grand Rapids, MI. This person will provide high-level administrative and strategic support to executive leadership. This role plays a critical part in ensuring the CEO and leadership team operate efficiently by managing complex scheduling, coordinating projects, supporting governance processes, and serving as a liaison between leadership, board members, staff, and community partners. This temporary assignment (3–6 months) and is fully onsite and will play an important part in ensuring day-to-day operations run smoothly. RESPONSIBILITIES: · Provide day-to-day administrative support to the CEO, including managing a complex calendar, scheduling meetings, and coordinating priorities.· Draft correspondence, memos, reports, and other executive communications.· Prepare materials and working drafts for leadership review.· Respond to inquiries and requests on behalf of the CEO when appropriate.· Coordinate logistics for meetings, travel, and internal events.· Coordinate all Board of Directors and committee meetings, including scheduling, preparation of materials, and meeting logistics.· Attend Board of Director meetings, take minutes, and ensure proper documentation.· Maintain board governance documents including policies, bylaws, and resolutions.· Maintain board information on organizational platforms and communications.· Coordinate projects and initiatives on behalf of the CEO and Leadership Team.· Assist with internal leadership meetings and strategic planning discussions.· Support planning and execution of staff events, retreats, and town halls.· Serve as a key liaison between executive leadership, board members, community leaders, and partner organizations.QUALIFICATIONS:5 years of executive administrative or office management experience, preferably supporting senior leadership.Associate’s degree preferred but not required.Strong organizational and time management skills with the ability to manage multiple priorities.Excellent written and verbal communication skills.High level of discretion when handling confidential information.Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).Ability to work effectively in a fast-paced, mission-driven environment and collaborate with diverse stakeholders.· MANAGEMENT BUSINESS SOLUTIONS IS AN EQUAL-OPPORTUNITY EMPLOYER
