Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is essential in supporting daily office operations, managing communications, and ensuring smooth administrative workflows. The ideal candidate will possess strong computer skills, excellent organizational abilities, and prior office or clerical experience. Bilingual skills are a plus, and familiarity with office management tools such as Microsoft Office, Google Workspace, and QuickBooks Online will be highly valued. This position offers an opportunity to work in a dynamic environment where customer service and administrative expertise are key to success.

Responsibilities

  • Manage front desk duties, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Coordinate calendar management, appointment scheduling, and meeting arrangements using Microsoft Office and Google Workspace tools
  • Assist with bookkeeping tasks using QuickBooks Online and maintain accurate financial records
  • Provide exceptional customer support via phone, email, and in-person interactions, demonstrating excellent phone etiquette
  • Support office management tasks such as supply ordering, document preparation, and general administrative support
  • Handle correspondence, prepare reports, and assist with project coordination as needed
  • Maintain confidentiality of sensitive information and ensure compliance with company policies

Requirements

  • Proven experience in office administration or clerical roles; prior experience as a receptionist or personal assistant is preferred
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Familiarity with QuickBooks Online for bookkeeping tasks is desirable
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Bilingual abilities are a plus to assist diverse client needs
  • Exceptional communication skills including phone etiquette and customer service experience
  • Ability to manage calendars efficiently and prioritize tasks effectively
  • Attention to detail for proofreading documents and maintaining accurate records
  • Previous experience in medical or dental receptionist roles is advantageous but not required
  • Demonstrated time management skills with the ability to meet deadlines consistently

Job Type: Full-time

Pay: From $25.00 per hour

Expected hours: 40 per week
