SUMMARY:
The Advancement Manager is a central member of the Maltz Museum’s team, providing administrative and operational support across development and executive initiatives. This role combines high-level administrative support, grant research and writing assistance, and event management, ensuring that the museum’s advancement operations run efficiently and effectively. The ideal candidate is highly organized, meticulous, tech-savvy, and able to manage multiple priorities while fostering positive relationships with colleagues and stakeholders.
DUTIES & RESPONSIBILITIES:
Development and Grant Support
- Assist the Development Director with research and identification of grant opportunities aligned with the museum’s priorities.
- Work closely with the Development Director in drafting, proofreading, and assembling grant proposals and supporting documents.
- Support the processing of gifts, pledges, and memberships, including generating acknowledgment and membership letters and ensuring timely compliance with museum policies.
- Assist development in managing events, including the Maltz Heritage Award and other events that fall under the Development Department.
- Maintain and update constituent records in the museum’s CRM (Blackbaud Altru), running queries and generating reports as needed—high proficiency is essential.
Executive and Board Support
- Provide administrative support to the Executive Director and Deputy Directors, including scheduling meetings, preparing materials, and coordinating follow-up.
- Perform all administrative tasks in support of the management of the Board of Trustees and board meetings, including preparing materials, maintaining schedules, and ensuring smooth meeting operations.
Other Duties
- Coordinate office supplies, including ordering and maintaining adequate stock.
- Perform other duties as assigned by the Director of Marketing & Advancement and the Executive Director.
EDUCATION & EXPERIENCE:
- Bachelor’s degree.
- Experience in nonprofit development, grant writing, administrative support, or other relevant professional experience that would contribute to success in this role.
- Strong written and verbal communication and proof-reading skills.
- Highly organized, detail-oriented, and able to manage multiple projects simultaneously.
- Proficiency with the full Microsoft Office suite, including Excel (high-level proficiency required).
- The ability to learn the museum’s CRM and run queries is essential.
- Comfortable working independently and collaboratively in a challenging environment.
- Commitment to professional integrity and fostering positive relationships with diverse stakeholders including members of the public.
SALARY RANGE: Competitive annual salary commensurate with experience.
