We are looking for a warm, organized, energetic, detail-oriented and professional Spa Receptionist to be the welcoming face of our spa.
As our Spa Receptionist, you are the first and last impression our guests have of us. You will set the tone for every visit by creating a warm, welcoming atmosphere while keeping daily operations running smoothly and efficiently behind the scenes.
In this vital role, you will manage front desk operations, coordinate appointments, and provide exceptional customer service to ensure every guest feels valued and cared for. Your positive attitude and organizational skills will help create a relaxing environment where clients can unwind and enjoy their experience. Responsibilities:
- Greet guests warmly upon arrival, ensuring a friendly and professional first and last impressions
- Answer phone calls, respond to emails, and manage online inquiries promptly
- Maintain appointment calendars using scheduling software and coordinate with therapists and staff
- Handle client check-in/check-out processes with accuracy, including processing payments and updating records
- Provide excellent customer support by addressing guest questions, concerns, or special requests promptly
- Promote spa memberships, packages, gift cards, and retail products
- Maintain a clean, organized, and inviting front desk and lobby area
- Keep the bathroom, treatment and break rooms sanitary, organized, tidy, and stocked with necessary supplies
- Perform clerical duties such as data entry, filing, proofreading documents, and managing correspondence
- Utilize computer skills including Microsoft Office and Google Workspace for administrative tasks
- Support office management activities such as calendar management, bookkeeping with QuickBooks, and general administrative support
- Support social media and general marketing efforts
- Communicate effectively with other spa staff to ensure smooth client flow
- Handle guest concerns or complaints with professionalism and care
- Assist with opening and closing procedures
- Manage merchandise ordering and retail displays; monitor product inventory levels
- Other duties, as assigned
Skills:
- Proven experience in front desk or office management roles within a service-oriented environment, ideally in a spa environment
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping tools like QuickBooks
- Excellent phone etiquette with experience managing multi-line phone systems in a professional setting
- Bilingual abilities are highly desirable to serve diverse clientele effectively
- Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Clerical experience including filing, proofreading, and document management
- Customer service expertise with a friendly demeanor and strong communication skills
- Knowledge of office procedures such as calendar management, typing accuracy, and personal assistant tasks
- Ability to handle confidential information discreetly while providing outstanding support to both clients and staff
Requirements:
- High school diploma or equivalent required
- Prior experience in a spa, salon, hotel, or customer-facing hospitality role preferred
- Excellent verbal and written communication skills
- Friendly, polished, and professional appearance and demeanor
- Strong multitasking and organizational abilities
- Comfortable with booking software and point-of-sale systems (experience with Vagaro, Mindbody, or similar a plus)
- Ability to remain calm and composed in a fast-paced environment
- Flexible availability including evenings, weekends, and holidays
