To alleviate poverty, we deliver a variety of services including childcare, education, workforce development, nutrition, health, and community and housing support.Position Overview:The Patient Services Representative is responsible for playing a crucial role in ensuring the smooth and efficient operation of multiple medical clinics. While supporting three clinics (pediatric, behavioral, and reproductive), the primary responsibilities include performing check-in and check-out duties, handling referrals, diagnostic and lab orders processing, administrative tasks, medical records filing, and working towards improving patient satisfaction scores. The incumbent is expected to adhere to established protocols and procedures while delivering high-quality service to patients.Essential Duties and Responsibilities: Welcome and receive patients in a manner consistent with MOC service expectations Verify patient demographic and insurance-related information accurately and enter data in the systemEnsure all required disclosure and registration forms are current and maintained Collect patient co-pays and self-pay balances, posting payments accurately Perform insurance verification and complete associated electronic tasks Enroll patients in the Patient Portal and respond to inquiries Coordinate interpreter services and document declination if applicable Complete end-of-day reconciliation, including daily deposit and credit card transactions Schedule follow-up appointments as indicated by the provider, checking for duplicatesProcess referrals, diagnostic, and lab orders, ensuring specialist offices receive relevant notes and resultsFacilitate scheduling for other physician offices and outpatient proceduresEnsure compliance with insurance carriers' pre-certification requirementsSubmit necessary forms to centralized scheduling for outpatient proceduresInstruct patients on proper preparation for proceduresRun medical necessity checks and have patients sign ABNs as neededCollaborate with clinical staff to notify patients of appointment delaysAnswer the telephone following customer service standardsRespond to emergencies and summon appropriate personnelGreet and acknowledge visitors according to service standardsPerform filing, faxing, collating, and photocopying as requiredComplete chart preparation processesMaintain the file system according to MOC and department standardsCollaborate with clinical staff for data entry related to new patient records and non-interfaced diagnosticsScan medical record information received via paper to the patient EHRCopy and send medical records as requested, ensuring HIPAA complianceLearn and apply behaviors consistent with the MOC programs and standardsWork with the team to identify opportunities for improvement in survey resultsActively participate in recommending plans of action to address identified issuesContribute to improving the practice’s HEDIS metrics through proactive scheduling and appropriate patient follow-up Maintain a professional and organized work areaReceive, sort, and distribute all incoming correspondence and mailMaintain the waiting room throughout the dayRelay supply-related information and order supplies as neededRequired Qualifications and Skills:High School diploma or equivalent with Office Practice courses a plusExcellent verbal and written communication skillsExcellent interpersonal and customer service skillsExcellent sales and customer service skillsExcellent organizational skills and attention to detailExcellent time management skills with a proven ability to meet deadlinesStrong analytical and problem-solving skillsStrong supervisory and leadership skillsAbility to prioritize tasks and to delegate them when appropriateAbility to function well in a high-paced and at times stressful environmentProficient with Microsoft Office Suite or related softwareMultilingual skills highly desiredMinimum 12 months clerical/office or other related experience, preferably in a medical office setting using an electronic medical recordStrong medical terminology background preferredPhysical Requirements:Prolonged periods of sitting at a desk and working on a computer.Must be able to lift up to 15 pounds at times.Other duties:Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties, or responsibilities that are required of the employee for this job.Compensation:A salary within the range of $20.43 to $27.64 per hour will be provided to the successful candidate having met the minimum requirements for the position consistent with the MOC compensation philosophy.
