POSITION SUMMARY
The Product Development Coordinator will play a critical role in supporting the Product Development team through project organization, calendar management, sample tracking, and cross-functional collaboration. This individual will ensure seamless communication between internal teams and external manufacturing partners while maintaining organization across product development operations.
KEY RESPONSIBILITIES
Product & Sample Management
- Track and manage all incoming and outgoing product samples and packages
- Maintain and organize the Product Development (PD) product closet, vendor closet, and competitive product closet, ensuring all inventory is properly stocked, cataloged, and accessible
- Oversee sample requests and distribution for cross-functional teams, including Operations, Marketing, Social, Education, and other departments as needed
Product Development Operations
- Review reorder batches and independently determine whether to approve, redirect, or escalate requests based on established guidelines and business needs
- Support product development workflows by ensuring timely communication and follow-through on key initiatives
Meeting & Calendar Management
- Own and manage the Product Development team calendar
- Schedule and coordinate internal meetings as well as meetings with external partners, vendors, and contract manufacturers
- Prepare meeting logistics and ensure all necessary materials are distributed in advance
- Manage agendas and recaps of all meetings
Cross-Functional Communication
- Distribute weekly new product launch presentations to the Product Development and Marketing teams
- Serve as a key point of coordination between Product Development and cross-functional stakeholders to ensure alignment on sample needs, timelines, and project milestones
Executive & Vendor Partnership Support
- Attend Product Development meetings with the Founder & CEO and provide meeting support as needed
- Participate in meetings with contract manufacturers to support communication, project tracking, and follow-up actions
- Maintain strong relationships with external manufacturing partners and vendors
QUALIFICATIONS
- Strong organizational and project management skills with exceptional attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office and Google Workspace
- Ability to work cross-functionally and build relationships across departments and external partners
- 1 - 2 years prior experience in beauty, cosmetics, product development, merchandising, or a related field preferred
