Job Summary
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, manage office operations efficiently, and provide essential administrative support across departments. This role requires excellent communication skills, proficiency with office management tools, and a friendly demeanor to ensure smooth daily operations. Experience with QuickBooks, Microsoft Office, and Google Workspace is highly desirable, along with strong organizational and multitasking abilities.
Responsibilities
- Greet visitors and clients professionally at the front desk, ensuring a welcoming environment
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendar entries using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and maintain accurate records for office documentation
- Handle incoming and outgoing correspondence including emails, mail, and faxes
- Support office management tasks such as supply ordering, inventory tracking, and organization of office space
- Provide exceptional customer service support by addressing inquiries promptly and courteously
- Maintain client information and notes in our software
- Proofread documents for accuracy and clarity before distribution
- Maintain confidentiality of sensitive information in compliance with company policies
- Support personal assistant duties including calendar management and travel arrangements when required
Qualifications
- Proven experience in office administration or clerical roles; prior experience as a receptionist or medical/dental receptionist is preferred
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets, Calendar), and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional phone etiquette and customer service skills; bilingual abilities are a plus
- Ability to handle multi-line phone systems efficiently and professionally
- Attention to detail with proofreading capabilities for professional correspondence
- Strong time management skills to meet deadlines in a fast-paced environment
- Previous experience in office management or personal assistant roles is beneficial
- High school diploma or equivalent required; additional administrative certifications are a plus
Job Types: Full-time, Part-time
Pay: $20.00 - $22.00 per hour
