Title of Position: Administrative Specialist III ~ Admissions / Enrollment Center
Bargaining Unit/Salary Range: MSEA Support Services; Level 12; Starting Salary: $20.33/hour.
Job Summary: This position is the primary contact person for walk-in traffic for the Enrollment Center, which includes Admissions, Financial Aid, and the Registrar, as well as providing coverage for incoming telephone inquiries. This position provides clerical / data entry support to the Admissions Department. Primary responsibilities include uploading admissions records, entering and ensuring the accuracy of data in the student information system, recognizing and resolving data anomalies, processing mail and matching documentation to students’ files, preparing and disseminating correspondence, and communicating document needs/statuses with prospective and current students.
Minimum Qualifications: Associate's degree in business management or other related field with one year or more of experience with administrative and secretarial support, experience in an independent role as an office assistant/manager, or closely related responsibilities are essential. Prior experience in Admissions or Higher Education is desired.
Required Knowledge, Skills, and Abilities:
- Proficient in Microsoft Office, including Word, Excel, Outlook & Teams.
- Capable of creating mail merges and using spreadsheets while using basic formulas (i.e., basic arithmetic functions, insert rows, sort & data extraction).
- Ability to work in a team-centered environment, as well as work independently.
- Accustomed to providing excellent customer service to internal & external customers.
- Excellent verbal and written skills. Ability to always maintain confidential & secure data.
- Strong organizational and analytical skills; attention to detail.
- Proven ability to produce highly detailed, multi-step tasks. Demonstrated critical thinking and effective problem-solving skills.
- Energetic, positive attitude & remain calm in difficult and stressful situations.
- Ability to work independently without supervision and have problem-solving skills.
Preferred Knowledge, Skills, and Abilities:
- Previous work with students in a community college setting.
- Experience using a Student Information System (SIS).
