We are seeking a highly organized, growth-minded professional with high EQ to serve as the Sales and Marketing Administrative Associate, a role at the heart of our firm’s growth, reputation, and operational excellence.

This position is ideal for someone who thrives on maintaining smooth internal processes, delivering outstanding client experiences and is eager to develop hands-on sales and client development skills in a sophisticated, relationship-driven environment. You will work directly alongside our Director of Business Development to help manage client communications, support marketing and communications initiatives, and keep internal processes sharp and effective.

What You Will Do:

  • Support Sales Operations: Assist sales team members in preparing proposals, agreements, invoices, sales packets, presentations for prospective clients, and marketing materials.
  • Maintain Accurate Records: Maintain and update client and candidate records in the company’s CRM system; maintain lead lists and activity tracking.
  • Create High-Quality Documents: Assist in creating high-quality, client-facing documents such as candidate profiles and weekly reports.
  • Conduct Market Research: Summarize findings and present to leadership.
  • Enhance Sales Processes: Improve sales and operational processes and collaborate with cross-functional teams to implement best practices.
  • Manage Meeting Logistics: Take detailed meeting notes, track action items, and ensure follow-up tasks are completed on time.
  • Oversee Social Media Presence: Manage company social media accounts by scheduling posts and supporting the creation of professional, on-brand content.


Qualifications:

  • Bachelor’s degree
  • Minimum of 3-5 years’ professional experience, with experience in marketing
  • Experience with managing online databases
  • Experience with social media platforms associated with professional networking and career development a plus

  • Polished & Professional: You’re comfortable communicating with high-level clients and executives, representing the firm with professionalism and integrity.
  • Tech-Savvy: You’re fluent in Microsoft 365 and can pick up new tools quickly (CRM, ATS, email platform systems).
  • Proactive and Dependable: You anticipate needs, identify challenges early, and take initiative to keep things running smoothly
  • Clear and Confident Communicator: You write with accuracy, clarity and professionalism.
  • Positive Attitude: You have a “can do” attitude with a heart for service

Schedule:

Full-time, Monday through Friday with standard office hours. This role is fully in-office. There is no availability for remote or hybrid work.


Compensation:

Compensation from $80,000-$100,000 annually, based on experience, plus year-end performance-based bonus. Generous corporate benefits, including health, dental, and vision insurance; paid time off and paid holidays; employer-paid short- and long-term disability insurance and life insurance; a 401(k)-retirement plan with safe harbor match; and paid Garage parking.
