Madusalon is seeking a Front Desk Coordinator to join our team and serve as the operational heartbeat of our salon. This role is essential to delivering a seamless luxury guest experience while supporting stylists, systems, and daily salon flow.

Role Overview
The Front Desk Coordinator is responsible for guest experience, scheduling accuracy, front desk operations, and administrative execution. This role requires strong attention to detail, confidence in communication, and the ability to balance hospitality with policy enforcement.
You will be expected to follow established systems, meet performance standards, and contribute to a clean, calm, and elevated salon environment.
Key Responsibilities:
Guest Experience & Communication
- Greet and welcome all guests warmly, professionally, and consistently
- Serve as the primary point of contact for guest inquiries, concerns, and follow-ups
- Handle guest issues with empathy, clarity, and professionalism, escalating when appropriate
- Maintain a calm, solutions-oriented presence during busy or high-pressure moments
Booking & Scheduling Standards
- Secure accurate bookings based on stylist availability, service timing, and salon guidelines
- Confirm card on file for all guests at time of booking and communicate cancellation policies clearly
- Process reschedules and cancellations strictly within policy and approved timeframes
- Ensure appointment notes, service details, and guest profiles are complete and up to date
- Inform stylists of guest arrivals, delays, service needs, and special notes
Operations & Administrative Duties
- Manage incoming phone calls, emails, deliveries, and general correspondence
- Process transactions accurately, issue receipts, and support retail sales at checkout
- Maintain front desk systems including STX scheduling, guest profiles, and daily reports
- Perform administrative tasks such as filing, data entry, transaction logging, and record updates
- Support inventory tracking and notify management of low stock or supply needs
Salon Presentation & Cleanliness
- Maintain a clean, organized, and professional reception and lobby area at all times
- Support daily salon flow by assisting with light operational tasks as needed
- Uphold Madusalon’s standards for appearance, attire, and workspace presentation
Sales, Marketing & Brand Support
- Confidently communicate current promotions, services, and retail offerings to guests
- Support add-on and retail conversations in alignment with salon goals
- Assist with front desk–led social media content as assigned
- Track and report on assigned front desk KPIs as requested by management
Accountability & Performance
- Meet performance expectations related to booking accuracy, guest experience, policy adherence, communication quality, and administrative consistency
- Participate in regular check-ins, feedback conversations, and ongoing training
- Take ownership of growth, learning, and continuous improvement in the role
Requirements & Qualifications
- High school diploma or GED required
- Minimum 1 year of receptionist, front desk, or customer-facing experience (salon or hospitality preferred)
- Proficiency with administrative software (GSuite, Microsoft Suite; scheduling systems a plus)
- Strong written and verbal communication skills
- Excellent time management, organization, and multitasking abilities
- Ability to remain calm, professional, and solution-focused in stressful situations
- Sales-minded with a service-first approach
- Consistent professional appearance and positive demeanor
- Reliable, punctual, and detail-oriented
Employment Details
- Pay: Hourly Commission
- Location: Cow Hollow / Marina (San Francisco)
- Employment Status: Trial period upon hire to ensure mutual fit
