Duties
- Greet visitors and clients promptly and professionally, creating a welcoming atmosphere
- Manage multi-line phone systems and direct inquiries appropriately
- Schedule appointments and manage calendars
- Handle correspondence via email and phone, ensuring clear communication and proper documentation
- Assist with office management tasks including supply ordering and inventory tracking
- Support administrative functions such as proofreading documents, managing calendars, and supporting other staff members
- Provide exceptional customer service by addressing inquiries efficiently and courteously
- Maintain confidentiality of sensitive information in accordance with company policies
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with excellent time management abilities
- Experience with multi-line phone systems and phone etiquette best practices
- Ability to perform data entry accurately with good typing speed and attention to detail
- Familiarity with QuickBooks or bookkeeping software is preferred
- Bilingual capabilities are highly desirable to serve diverse client needs
- Office management or clerical experience is advantageous
- Exceptional customer service skills with a professional demeanor
- Strong written and verbal communication skills including proofreading abilities
- Knowledge of medical or dental receptionist procedures is a plus but not required
