Foreclosure Coordinator
What We’re Looking For
We are looking for someone who is organized, dependable, detail-oriented, proactive, and comfortable managing deadlines and multiple active foreclosure files. The ideal candidate understands the importance of timely follow-up, accurate documentation, professional communication, and knowing when an issue needs to be escalated.
This is a full-time, on-site position at our Reno, Nevada office.
Position Summary
We are seeking an experienced Foreclosure Coordinator to manage and monitor foreclosure activity for mortgage loans serviced by Madison on behalf of lender clients.
This position will work closely with lenders, foreclosure attorneys, trustees, vendors, and internal servicing teams to coordinate foreclosure referrals, documentation, approvals, milestones, status updates, and required follow-up.
A key responsibility is managing foreclosure workflows and lender communication through NoteFlow while ensuring files remain accurate, complete, and progressing appropriately.
Key Responsibilities
- Coordinate nationwide foreclosure activity from referral through completion, cancellation, reinstatement, or other resolution.
- Manage NoteFlow workflows, including referrals, documents, approvals, tasks, status updates, and lender communications.
- Monitor foreclosure milestones, deadlines, scheduled sales, attorney/trustee activity, and outstanding requirements.
- Proactively follow up on missing documentation, approvals, and required actions.
- Maintain accurate foreclosure records, notes, communications, and supporting documentation.
- Review files for completeness, consistency, missing information, and potential exceptions.
- Identify and escalate issues such as bankruptcy, active loss mitigation, title concerns, borrower disputes, litigation, documentation deficiencies, and missed milestones.
- Coordinate with internal servicing departments when payment activity, loss mitigation, bankruptcy, escrow, payoff, reinstatement, or other servicing activity affects foreclosure.
- Work with attorneys, trustees, and vendors while maintaining clear communication with lender clients.
- Support quality-control reviews, compliance reviews, audits, and lender reporting.
Qualifications
- 2 years of experience in mortgage servicing, foreclosure, default servicing, bankruptcy servicing, loss mitigation, or related mortgage operations, with exposure to foreclosure processing.
- Working knowledge of foreclosure referrals, milestones, sales, reinstatements, payoffs, holds, and cancellations.
- Familiarity with judicial and non-judicial foreclosure processes and state-specific requirements.
- Strong organizational skills and ability to manage multiple active files, deadlines, and follow-ups.
- Excellent written and verbal communication skills.
- Strong attention to detail, documentation, analytical, and problem-solving skills.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Ability to learn and effectively use NoteFlow and other mortgage servicing systems.
- High school diploma or equivalent.
Preferred Qualifications
- 3 years of foreclosure or default servicing experience.
- Experience coordinating foreclosures with lenders, attorneys, or trustees.
- Experience with NoteFlow or comparable foreclosure workflow software.
- Experience handling foreclosure activity across multiple states.
- Private lender or private investor servicing experience.
- Familiarity with Fannie Mae, Freddie Mac, FHA, VA, or USDA servicing requirements is a plus, but not required.
