We are seeking an experienced Office / Business Manager to oversee daily operations, staff performance, financial management, and patient experience.
Position Summary
The Office / Business Manager is responsible for the overall administrative and operational performance of the imaging center. This role ensures efficient workflow, regulatory compliance, revenue cycle optimization, and excellent patient service.
The ideal candidate has prior experience in healthcare operations, preferably in radiology or outpatient diagnostic services.
Key Responsibilities
Operations Management
- Oversee daily front and back office operations
- Ensure smooth scheduling, patient check-in/out, and exam flow
- Monitor and improve workflow efficiency and patient throughput
- Coordinate equipment service scheduling and vendor relationships
- Manage facility maintenance and supply inventory
Financial Oversight
- Monitor payer contracting and revenue cycle performance (scheduling, authorizations, billing, collections)
- Review daily, weekly, and monthly volume and financial reports
- Manage budgets, expenses, and cost controls
- Work closely with billing team to reduce denials and improve collections
- Track KPIs including volume, reimbursement trends, and staffing ratios
Staff Management
- Hire, train, supervise, and evaluate administrative and clinical support staff
- Create and manage staff schedules
- Conduct performance reviews and coaching
- Foster a positive, professional workplace culture
- Ensure compliance with HR policies and California labor regulations
Compliance & Quality
- Maintain compliance with:
- California Department of Public Health regulations
- Radiation safety standards
- HIPAA requirements
- OSHA standards
- Assist with accreditation (ACR or other applicable programs)
- Ensure accurate documentation and policy adherence
Patient Experience
- Address patient concerns and resolve service issues
- Maintain high patient satisfaction standards
- Monitor online reviews and community reputation
Qualifications
Required:
- 3 years of healthcare office management experience
- Strong knowledge of medical billing and insurance processes
- Experience managing staff and daily operations
- Proficiency with RIS/PACS and practice management systems
- Strong leadership and communication skills
- Understanding of HIPAA and regulatory compliance
Preferred:
- Experience in radiology or diagnostic imaging
- Knowledge of imaging authorizations and radiology coding
- Bachelor’s degree in Healthcare Administration, Business, or related field
