Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess strong office management skills. You will serve as the first point of contact for visitors and callers, manage scheduling, handle clerical tasks, and support various office functions to create a welcoming and efficient environment.
Duties
- Greet patients warmly, answer multi-line phone systems professionally, and direct calls with excellent phone etiquette.
- Manage front desk operations, including check-ins, appointments, and visitor sign-in procedures.
- Handle incoming and outgoing billing correspondence, emails, and mail distribution efficiently.
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading.
- Utilize Microsoft Office Suite (Word, Excel, Outlook) for document creation, scheduling, and communication.
- Assist with office management tasks such as patient documentation, supply inventory, calendar management.
- Support bookkeeping activities using insurance billing and accounting software; perform basic data entry and record keeping.
- Provide customer support by addressing inquiries promptly and professionally in person or via phone or email.
- Perform clerical duties including photocopying, scanning, faxing, and maintaining organized digital files.
Qualifications
- Proven office experience with strong organizational skills and attention to detail.
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and familiarity with multi-line phone systems.
- Prior clerical experience including data entry, filing, proofreading, and document management.
- Strong customer service skills with professional phone etiquette
- Experience with office management tasks such as calendar management and supply ordering.
- Knowledge of bookkeeping experience is preferred but not required.
- Ability to handle multiple priorities efficiently while demonstrating excellent time management skills.
- Previous experience in medical or dental reception is advantageous but not mandatory; personal assistant experience is also valued.
