A self-managed condominium association is seeking an Office Administrator with excellent customer service and bookkeeping skills. Candidate must be fluent in QuickBooks and knowledgeable in Excel, Word, and Outlook. Essential Duties & Responsibilities
- Interact politely and professionally with owners, guests, contractors and co-workers via phone, email and in person.
- Answer phone calls, if necessary. Transfer calls or write down messages and relay to the appropriate employee in a timely manner, when needed.
- Assist in the preparation of owner mailings for billings, meetings and votes.
- Assist in maintaining records, files and databases.
- Enter bills, cut checks, create invoices and receive payments in QuickBooks.
- Reconcile Bank Accounts.
- Generate Financial Reports for Board of Directors.
- Generate and maintain spreadsheets and documents.
- Collaborate with independent CPA audit firm by providing information timely and accurately when requested.
- Aid in providing association budget information according to and within the timeline required by the GM and Accountant.
- Assist the General Manager with administrative tasks, reports and other projects as assigned.
- Receive and organize daily correspondence, scan & file.
- Perform any range of special projects, tasks and other related duties as assigned.
Education & Experience
Minimum of three years of experience as an Administrator, Office Manager or Bookkeeper; or equivalent combination of education and experience.
Knowledge, Skills & Proficiencies

- Must have strong proficiency in QuickBooks, Windows, and Microsoft Office, including but not limited to Word, Excel, PowerPoint and Outlook
