About Mackie Properties
Mackie Properties is a growing local property management company serving rental properties and homeowners associations throughout Bloomington and the surrounding area. We are seeking a motivated, organized, and dependable individual to join our team as an HOA Coordinator.
This is a full-time administrative position that also includes occasional fieldwork within the communities we manage. The HOA Coordinator will work as part of our HOA management team, helping manage day-to-day communications, maintenance coordination, administrative projects, and community needs.
What You'll Do
As an HOA Coordinator, you will help keep HOA operations organized and moving forward. Responsibilities include:
- Communicating and coordinating with HOA Board Members, homeowners, contractors, vendors, and coworkers via phone, email, and text
- Obtaining proposals and estimates for maintenance and administrative projects
- Coordinating and scheduling contractors and services
- Following up on open projects, proposals, and scheduled work
- Filing and maintaining physical and digital records
- Completing data entry and keeping property and project information organized
- Utilizing Google Workspace, including Gmail, Drive, Docs, Sheets, Calendar, and Chrome
- Utilizing AppFolio Property Manager for HOA and property-related tasks
- Assisting coworkers with answering phones and relaying information
- Supporting additional administrative and operational needs as they arise
Field Responsibilities
While much of this position is office-based, some local fieldwork is required. This may include:
- Picking up copies, documents, or supplies
- Visiting HOA communities to gather information and take photos
- Documenting reported maintenance or community issues
- Meeting contractors on-site to explain projects or assist with obtaining proposals
- Meeting homeowners or HOA Board Members on-site when additional information is needed
- Assisting with project coordination within the communities we manage
Reliable transportation is required. Applicants must have a valid driver's license and access to a reliable vehicle for work-related field tasks. Gas expenses for authorized work-related travel will be compensated.

Experience with AppFolio Property Manager is a plus but is not required.

A successful HOA Coordinator is proactive, organized, and comfortable taking ownership of assigned tasks. You should be willing to investigate issues, communicate with multiple parties, document information accurately, and follow up until a task or project is complete.
