We are seeking a highly organized Fleet & Equipment Coordinator to oversee our equipment rental operations, fleet maintenance coordination, equipment records, and asset availability to support projects across the country.
Position Summary
The Fleet & Equipment Coordinator is responsible for coordinating the daily operations of MAC Rentals, supporting internal equipment needs for construction projects, and managing equipment rentals with outside vendors when company-owned equipment is unavailable. This position also coordinates preventative maintenance and repairs for company trucks, trailers, and construction equipment while maintaining accurate equipment records and ensuring assets are available, compliant, and ready for use.
This role works closely with Project Managers, Superintendents, Warehouse personnel, Diesel Mechanics, and outside vendors to keep projects running efficiently.
Job ResponsibilitiesEquipment & Rental Coordination
- Manage the daily operations and scheduling of MAC Rentals equipment.
- Coordinate equipment rentals for internal construction projects.
- Assist outside customers with rental requests, scheduling, and equipment availability.
- Coordinate equipment deliveries, pickups, and returns.
- Source rental equipment from outside vendors when company equipment is unavailable.
- Obtain quotes and coordinate rental agreements with equipment suppliers.
- Track rental schedules, utilization, and costs.
- Maximize equipment availability while minimizing downtime and unnecessary rental expenses.
Fleet & Equipment Coordination
- Coordinate the movement of equipment between projects and facilities.
- Maintain accurate equipment inventory and asset records.
- Track equipment availability and utilization.
- Work with project teams to forecast equipment needs and schedule equipment accordingly.
Maintenance Coordination
- Coordinate preventative maintenance schedules for trucks, trailers, and heavy equipment.
- Work directly with diesel mechanics to prioritize repairs and maintenance.
- Schedule outside repairs and warranty work as needed.
- Maintain equipment service records and repair history.
- Monitor equipment downtime and assist in improving fleet reliability.
Compliance & Documentation
- Maintain equipment files, registrations, inspections, and maintenance records.
- Assist with DOT compliance documentation for company vehicles.
- Track warranties, inspections, and preventative maintenance schedules.
- Ensure equipment documentation remains organized and up to date.
Vendor & Operations Support
- Build and maintain relationships with equipment rental companies, repair facilities, and suppliers.
- Obtain competitive pricing for rentals, repairs, and equipment services.
- Coordinate transportation and logistics for equipment deliveries.
- Work closely with Project Managers, Superintendents, and Operations to ensure equipment needs are met.
- Identify opportunities to improve equipment utilization and reduce operating costs.
Qualifications
- 3 years of experience in equipment coordination, fleet operations, equipment rentals, construction operations, or a related field.
- Knowledge of heavy equipment, trucks, trailers, and construction operations.
- Experience coordinating equipment rentals or working with rental vendors is preferred.
- Strong organizational, scheduling, and communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office and computer-based tracking systems.
- Experience coordinating maintenance or repairs is preferred.
Pay: $60,000.00 - $80,000.00 per year
