M.S. Walker New York is hiring for an Office Coordinator and are looking for someone to start at the beginning of May. This role is full-time in office at the New Rochelle, NY facility during office hours (Monday to Friday approximately 8:30 AM-4:30 PM). The primary responsibility of the role will be administrative support to our sales and brand management team. There will be both reception/office support responsibilities as well as admin and analyst support.

Pay Range: $50,000-$60,000 annually

The primary responsibility of the role will be administrative support to our sales and brand management team. There will be both reception/office support responsibilities as well as admin and analyst support.
Responsibilities Will Include, But Are Not Limited To
Office Operations & Administrative Support
- Serve as the first point of contact for office communications (phones, mail, email inquiries).
- Manage day-to-day office operations, including meeting coordination and shipment handling (internal/external).
- Maintain office supply inventory and oversee vendor relationships (e.g., cleaning services, equipment providers).
- Provide administrative support to leadership, including calendar management and document preparation.
- Perform general administrative and ad hoc support tasks as needed.
- Prepare and distribute specific daily, weekly, and monthly sales reports using internal software platforms.
- Support data cleanup and maintenance initiatives to improve reporting accuracy and operational efficiency.
- Finance & Accounting Support
- Process and track checks and related payments.
- Assist with supplier accounts receivable (A/R) tracking and follow-ups.
- Support invoice tracking, credit memo processing, tasting credits, and basic reconciliations.
- Conduct daily inbound and landed cost audits to ensure accuracy and compliance.
- Provide support for internal and external events.
- Collaborate cross-functionally with marketing, sales, and brand teams to support in-market execution.
- Monitor and track event and marketing budget spend.
- Cross-Functional Collaboration, Process Improvement and Support
- Work closely with marketing, sales, and brand management to ensure teams have necessary tools and resources.
- Support interdepartmental initiatives and communication.
- 1-2 year of experience in a similar role
- Experienced MS Office user with strong Excel skills
- High attention to detail
- Excellent oral and written communication skills
- Ability to stay on task and stay organized while working on multiple deadlines
