Responsibilities
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and preparing reports.
- Coordinate projects by tracking deadlines, organizing resources, and ensuring timely completion of tasks.
- Handle office management duties such as filing, data entry, maintaining office supplies, and overseeing front desk operations.
- Assist with event planning for meetings, conferences, and company functions, including logistics coordination and vendor communication.
- Maintain bookkeeping records using QuickBooks and perform basic bookkeeping tasks like invoicing and expense tracking.
- Demonstrate excellent phone etiquette when managing multi-line phone systems and responding to inquiries with professionalism.
Qualifications
- Proven experience as a Personal Assistant or in an administrative support role with strong office management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
- Demonstrated ability to coordinate multiple projects simultaneously while maintaining attention to detail.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong typing skills along with transcription and proofreading experience for accurate document preparation.
- Knowledge of office equipment operation including multi-line phone systems and fax machines.
