Summary
The Operations Administrative Assistant provides essential support across commercial lines, acting as a bridge between producers, service teams, carriers, accounting, and agency leadership. This role ensures seamless workflows, accurate data management, and efficient communication, ultimately enhancing collaboration and maintaining data integrity.
Key Responsibilities
Compliance & Carrier Coordination:
• Facilitate carrier onboarding by collecting and managing required documentation
• Assist with carrier appointment applications for producers
• Maintain and update carrier relationships (Parent and Writing Companies) within AMS360
• Support agency licensing compliance
• Setup online carrier portal access for all offices
Data Management & Auditing:
• Review for accurate data entry in AMS360, identifying and resolving entry and coding errors
• Assist with quarterly audits to maintain consistency in naming conventions for all CL carriers in AMS360
• Maintain parent and writing company records in AMS to ensure data accuracy and seamless system integration
Financial & Commission Management:
• Assist in managing contingency worksheets to track and maintain contingency and bonus data
• Serve as the primary point of contact for the accounting team regarding accounts receivable/payable and bonus allocations, coordinating with CL teams (Account Executives and Account Managers) as needed
Reporting & Analysis:
• Compile reports and analyses related to books of business, revenue management, and overall agency performance
• Provide detailed reporting on carriers and production data within AMS
Executive Support Tasks (As Needed):
• Assist executive team with drafting presentations
• Provide scheduling and calendar support
• Assist with events planning and execution
• Help with operational deliverables as required
Desired Skills and Experience
• Strong organizational skills with the ability to manage multiple tasks and meet deadlines
• Excellent communication and collaboration abilities
• Detail-oriented with a strong focus on data accuracy
• AMS360 experience preferred, but not required
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
