Job Summary
The Payroll Specialist, under direct supervision of the Payroll Manager, is responsible for accurate and timely generation of weekly and bi-weekly payroll for exempt and non-exempt employees. The Payroll Specialist will assist in calculating and processing special checks, employment verification requests, garnishments, and tax levies, as well as handling general payroll inquiries. Must be thoroughly familiar with State and federal laws and regulations in payroll, as well as company policies and procedures. Must be proficient with ADP Workforce Now and Microsoft Office, specifically in Excel.
Duties/Responsibilities
- Responsible for the weekly and biweekly multi-State payroll processing, compiling payroll data to maintain accurate payroll records, auditing payroll information for accuracy, reconciling payroll deposits, tax withholdings, wage garnishments, child support orders, tax levies, and voluntary deductions; as well as troubleshooting systems issues and inquiries for the end user.
- Transmit information from third-party timekeeping software to ADP WFN and confirm accuracy.
- Process monthly bonus payments and mileage reimbursements for all company codes with payroll.
- Processes stop payment requests and issues replacement in-house manual checks upon approval, as needed.
- Process termination checks on time for review and distribution.
- Assisting with the end-of-month closing and audits. Quarterly state reporting and ensuring the accuracy of yearly employees’ tax forms.
- Research, review, and respond to all payroll-related inquiries. Research, analyze, and resolve all discrepancies, reporting to management as needed. Communicate with teams to make necessary changes/updates to accounts once approved.
- Always remain in compliance with all legal Federal, State, and institutional requirements.
- Maintain confidential and accurate payroll records and prepare reports for management.
- Develop and deliver system training and technical information to employees and managers, in person and remotely.
Required Skills/Experience
- Strong attention to detail and organizational skills.
- Highly proficient with ADP payroll processing and reporting (Workforce Now), and experience with ADP implementation is desirable.
- Knowledge of payroll laws, tax regulations, and fiscal procedures
- Experience working in multi-state payroll is preferred, as well as solid working knowledge of tax codes.
- Background and experience in managing over 600 non-exempt hourly employees
- Excellent computer skills, including Microsoft Office. Strong proficiency in systems and Excel reporting.
- Ability to adapt to a dynamic, changing work environment and work under strict deadlines.
- Self-motivated and directed with the ability to work independently or within a cross-functional team.
- Strong interpersonal and communication skills. Ability to interact with a wide range of people from diverse experiences and cultures. Exhibits good listening skills and comprehension. Keeps others adequately informed; selects and uses appropriate communication methods.

Salary : $73,000 - $80,000
