Our client, a fast-paced commercial printing and production company, is looking for an Accounts Receivable Specialist to join their team in Schenectady, New York. This role focuses on invoicing, cash application, collections, and customer account management, supporting accurate revenue tracking and healthy cash flow in a high-volume environment.
Key Responsibilities:
- Prepare, process, and distribute customer invoices accurately and on time.
- Post customer payments and apply cash to accounts receivable.
- Manage collections for large customer accounts, including follow-ups on outstanding balances.
- Monitor aging reports and proactively contact customers via phone, email, and written correspondence.
- Resolve billing discrepancies, disputes, and negotiate payment terms as needed.
- Prepare credit memos and billing adjustments.
- Track unbilled production jobs to ensure all revenue is captured.
- Collaborate with sales, customer service, shipping, and accounting teams on billing matters.
- Maintain detailed documentation of collection activity and account notes.
- Prepare daily billing and collections reports.
- Assist with month-end accounting tasks, including inventory count support.
Requirements:
- Associate’s or Bachelor’s degree in Accounting, Finance, or a related field, or equivalent work experience.
- 2–4 years of experience in accounts receivable, billing, and collections, preferably in a high-volume or corporate environment.
- Strong understanding of billing processes and basic accounting principles.
- Experience handling collections for large customer accounts.
- Excellent communication and interpersonal skills, especially in sensitive collection situations.
- Detail-oriented, organized, and goal-driven.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and familiarity with ERP or accounting systems.
- Comfortable working in a combined production and administrative environment.
Pay & Schedule:
- Pay Rate: $22–$25/hour
- Schedule: Monday–Friday, 8:00 AM – 5:00 PM
Pay: $22.00 - $25.00 per hour
