JOB DESCRIPTION:
ACTIVITY COORDINATOR/OFFICE ASSISTANT
The Activity Coordinator/Office Assistant will work under the direction of the Northland Village Housing Manager. The Activity Coordinator/Office Assistant should be capable of being self directed, be interested in working with elderly and disabled adults, be creative and be able to lead groups. It is desirable for the Activity Coordinator/Office Assistant to have knowledge of recreational activities.
The primary purpose of the Activity Coordinator/Office Assistant is to provide support and assistance to all functions of the project as they impact the well being of its residents. The secondary purpose of the Activity Coordinator/Office Assistant is to provide activities (inside and outside of the Village), provide transportation and handle office projects as directed by the Housing Manager.
QUALIFICATIONS
The Activity Coordinator/Office Assistant should preferably have a High School Education with experience in dealing with and relating to elderly and disabled adults. The Activity Coordinator/Activity Assistant must have some knowledge of office systems and procedures. The Activity Coordinator/Office Assistant must have a valid driver’s licenses and a clear driving record and no felony traffic violations. The Activity Coordinator/Office Assistant must have the ability to communicate, problem solve, advocate, and provide for the safety of all residents while in his/her care.
RESPONSIBILITIES AND DUTIES
Transportation – Activity Coordinator/Office Assistant will:
· Follow a weekly schedule of days to transport the residents to their desired locations. Transportation will be to the stores, businesses, and appointments in the Marinette, Menominee, Peshtigo area.
· Coordinate pick up and drop off times and collect and turn into the Housing Manager, whatever transportation fees are in effect.
· See that the Northland Village van is kept clean both inside and out, scheduling detailing for the van, and monitoring the van for adequate fuel for transportation at all times.
· Report any problems with the Northland Village van or residents to the Housing Manager.
Activities - Activity Coordinator/Office Assistant will:
· Prepare and publish a monthly calendar and weekly newsletter.
· Take the lead to carry out special events like meals, monthly birthday parties, special events/days, ordering out from local eating establishments and guest entertainers.
· Schedule special van outings to local events. Special activities must be cleared with the Housing Manager. Special event maybe, but are not limited to specialty shops, meals at local restaurants, and trips to local community events.
· Coordinate and direct "out of town" van trips to surrounding communities for shopping, luncheons, and special events taking place in those communities with prior approval by the Housing Manager.
· Collect, count, record, and turn in any money charged for special activities requiring resident payment.
· Pre-approve with Housing Manager the general cost when supplies, food, or "out of pocket" expenses are required and turn in all receipts of purchased items.
· Prepare and post notices on the bulletin board of all upcoming activities scheduled for the residents.
· Schedule, set up and take down of all seasonal and holiday decorations within the building and grounds.
Office Projects -
· Collect coin from the laundry rooms and turn into the NLRC business office weekly.
· Manage the Sunshine Fund and activities of the fund by keeping records of money coming in and going out, purchasing supplies for resident welcome baskets and greeting cards, and send cards out to residents as needed in a timely manner for birthday, get wells, etc.
· Complete projects of copying, organizing, filing as assigned by the Housing Manager.
RECORD MAINTENANCE
Activity Coordinator/Office Assistant will maintain all records applicable to this position on a timely basis, in a secure location within the Northland Village and in a manner that meets all applicable guidelines and regulations.
CONFIDENTIALITY
All information relevant to Northland Village and its residents will be kept private and confidential out of respect for resident's rights and with legal liabilities in mind.
STAFF MEETINGS
Attend all In-service meetings planned for staff. Attend all Staff Meetings as scheduled.
WORK SCHEDULE
The Activity Coordinator/Office Assistant’s Work Schedule shall normally be 28 - 30 hours per week Monday through Friday as scheduled by the Housing Manager.
The Work Schedule may be adjusted occasionally by the Housing Manager upon the discretion of the Housing Manager or upon the request of the Activity Coordinator/Office Assistant to permit activities that are at times other than normal working hours.
ATTENDANCE
Notify the Northland Village Housing Manager when ill and unable to be in attendance. Notify the Northland Village Housing Manager when scheduling vacation.
WORK ENVIRONMENT
The Northland Village Activity Center is pleasant, well lit and air‑conditioned. Residents of the facility live independently and may wish to volunteer to help with activities. The Activity Coordinator/Office Assistant’s office is well lit and pleasant with air conditioning in the summer and heat in the winter. The Village Van is well maintained and clean.
POLICIES
The Activity Coordinator/Office Assistant will adhere to the policies of Northland Lutheran Retirement Community and its individual corporations and be responsible for their implementation and adherence to these policies on and off Northland's campus.
DRESS CODE
The Activity Coordinator/Office Assistant shall dress in appropriate professional fashion with regard for the type of activity being presented.
PHYSICAL REQUIREMENTS
The Activity coordinator/Office Assistant should be a person in good physical health and free from communicable disease.
OTHER DUTIES
The Activity Coordinator/Office Assistant shall serve in whatever other reasonable capacities requested by the Housing Manager, President of Northland Lutheran Retirement Community and/or it's Board of Directors.
