Northwestern Mutual’s Greater Green Bay district is hiring an Office Coordinator to support daily office operations. This role is perfect for someone organized, detail‑oriented, and customer‑focused. Tasks include scheduling, phone and email support, and basic administrative projects. Schedule: Monday-Thursday, 8am-5pm and Fridays, 8am-3pm
Office and Administrative Procedures
- Oversee the opening and closing duties of the office.
- Manage front desk operations, including greeting guests, directing calls, and receiving mail and packages.
- Oversee office supply ordering and inventory management.
- Coordinate office décor, setup, and takedown for events.
- Work in partnership with the Managing Director and Chief Operator Officer to plan for office development, and recommend changes in equipment, office space or layout.
- Develop and maintain an agency manual of policies, procedures and practices.
Financial Representative Support
- Perform check deposit tasks and assist with light bookkeeping duties.
- Manage contracting and licensing activities.
- Support office leadership team with financially related tasks, as assigned.
Culture
- Lead the Culture Committee and facilitate fundraising efforts, volunteer activities, and office events such as potlucks.
- Work with the Managing Director and leadership team to execute initiatives with provided budgets and timeframes.
- Manage emergency contact forms and new employee administrative paperwork for the district office.
- Coordinate new employee swag and manage career fair purchases.
Marketing
- Maintain and update the district website and social media profiles (primarily LinkedIn), ensuring content is current and on-brand.
- Create engaging graphics, posts, and marketing materials using Canva (and similar tools).
- Coordinate a simple content calendar and collaborate with leadership to promote events, announcements, and team highlights.
Facilities and Technology Coordination
- Serve as the local point of contact for IT consulting team and printer maintenance.
- Serve as main landlord and vendor contact for the office and oversee those relationships.
- Establish, implement, and maintain adequate security and safety procedures for the office.
- Purchase and assure proper maintenance of office equipment, furniture, computers, phone system, and office supplies.
Qualifications
- A minimum of 1-2 years of office or clerical experience.
- Superior written and oral communication skills.
- Ability to take independent action and make sound decisions.
- Comfort with technology; ability to make informed decisions about hardware and software support.
- Ability to be diplomatic and team oriented.
- Ability to multi-task and drive results highly desired!
