Office Manager Responsibilities:
Overseeing and supporting all administrative duties in the office and ensure that office is operating smoothly.
Greeting visitors, answering a high-volume of incoming phone calls and delivering world-class service to our customers.
Coordinating appointments and meetings and managing staff calendars and schedules.
Receiving and sort incoming mail and deliveries and manage outgoing mail.
Supervising, mentoring, training, and coaching our office staff and delegating assignments to ensure maximum productivity.
Developing office policies and procedures, and ensure they are implemented appropriately.
Interviewing and training new office employees and organizing their new hire paperwork.
Organizing maintenance companies to keep the office clean and safe.
Reporting office progress to senior management and collaborating with them to improve office operations and procedures.
Identify opportunities for process and office management improvements, and design and implement new systems.
Managing office supplies and equipment and maintaining proper stock levels.
Producing reports, composing correspondence, and drafting new contracts.
Creating presentations and other management-level reports.
Providing other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.
Ensure office equipment is properly maintained and serviced.
Perform work related errands as requested such as going to the post office and bank.
Keep office area clean and tidy.
Other duties as needed.
EDUCATION AND EXPERIENCE
A bachelor’s degree preferred
2-5 years of work experience in an administrative/office management role
Must have exceptional attention to detail
Strong organizational and time management skills, and ability to prioritize
Must be a self-starter and driven
Excellent communication and interpersonal skills
Strong problem-solving skills and analytical abilities
Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
