Construction Coordinator
FTTH Underground Drilling — Kent, WA · Valhalla / Ezee Fiber
Role: On-site lead responsible for subcontractor management, safety, and daily site operations
Your Role & Reporting
- You report to the PM — The Project Manager is your direct supervisor. Bring all issues, decisions, and information to the PM first. Do not communicate directly with Valhalla or Ezee Fiber unless directed or approved by the PM.
- Your lane — Your primary focus is the subcontractor crew, daily site operations, morning meetings, safety, and feeding the PM everything they need to run the project. This includes helping with tasks outside of sub contractor management as directed by the PM.
- Support the PM — Your role exists to take daily operational weight off the PM so they can manage the full project. The more organized and proactive you are, the smoother the project runs.
Subcontractor Management
- Direct oversight — You are responsible for managing the subcontractor crew day-to-day. Their performance, productivity, and quality of work are your responsibility to monitor and address.
- Daily work assignment — Assign daily work to the subcontractor crew each morning. Make sure they know exactly what they are doing, where they are working, and what the expectations are for the day.
- Productivity accountability — Track the sub crew's output throughout the day. If they are falling behind, it is your job to identify why and course-correct, whether that is a crew issue, a material issue, or a site condition.
- Daily inspection — Inspect the subcontractor crew's work daily. Verify footage, installation quality, and workmanship before it gets reported as complete. Do not report work you have not verified.
- Daily production reporting to PM — Report the sub crew's daily production numbers to the PM every day without exception. This feeds the PM's final daily report submission.
Morning Meetings
- Run the daily standup — You are responsible for leading any necessary morning meetings for the sub crew. This can be a check in with the Sub PM or a meeting with their entire crew if required.
- Agenda — Cover the day's work areas and assignments, any safety topics or hazards, material or equipment needs, and any coordination required between the two crews while on shared maps.
- Keep it tight — Morning meetings should be focused and brief. Get crews informed and on the ground quickly.
Safety
- Own daily safety on site — You are the boots-on-the-ground safety lead. It is your responsibility to make sure the crews are working safely and wearing PPE every day.
- Toolbox talks — Conduct daily safety briefings and toolbox talks as necessary. The meetings become more frequent when issue are repeated and are not immediately addressed. Topics are current site conditions, upcoming hazards, and any recurring safety issues.
- Compliance — Ensure all crew members, are following safety protocols at all times. Address non-compliance immediately.
- Incident reporting — If a safety incident occurs, report it to the PM immediately. Document the details. Do not wait until the end of the day.
Materials & Equipment
- Report sub material needs to PM — You are responsible for identifying what materials the subcontractor crew needs and communicating that to the PM in advance. Do not let the crew run short because a request was late.
- Day-to-day equipment coordination — Ensure that the sub contractors equipment is on site and ready to work on a daily basis, this is to make sure all work assigned for that day can be completed.
- No independent procurement — You do not order materials or equipment independently. All procurement goes through the PM.
Map Coordination (Shared Overlap Phase)
- Coordinate with PM — While both crews are working on the same map, work closely with the PM to ensure there is no duplication, conflict, or gap between the Luck Grove crew and the sub crew's work areas.
- Transitioning to dedicated maps — As maps get divided, your coordination responsibility simplifies. Your sub crew will have their own map and your focus will shift entirely to that scope.
