Job Description Summary
The Front Office Administrator is responsible for managing patient scheduling, coordinating appointments, collecting copays and balances due, and providing administrative support to ensure smooth front office operations. This role serves as a key point of contact for patients and staff, facilitating efficient workflow and excellent service.
Essential Functions
· Schedule, reschedule, and confirm patient appointments efficiently for multiple providers using the practice’s scheduling system
· Answer all incoming calls for the practices and manage, or route accordingly
· Handle patient check-in and check-out processes, including collecting required documentation
· Collect patient copays, balances due, and payments
· Maintain organized patient records and accurate scheduling logs
· Respond to patient inquiries via phone, email, or in-person, in a professional and courteous manner
· Complete insurance verification and prior authorizations
· Work on patient leads, referrals, and follow-up on no-shows
Requirements
· High school diploma or equivalent required
· Prior experience in a medical or healthcare office, front desk, or scheduling role preferred
· Proficiency with scheduled software, Microsoft office, and electronic medical record (EMR) systems
· Excellent communication, organizational, and multitasking skills
· Strong attention to detail and ability to maintain confidentiality
· Ability to travel to other offices as needed
