Lucid Audio Video is a small business based in Lafayette, CO. Our work includes installation, design, and servicing of performance audio, video, theatrical lighting, and related technology systems. Our customers are primarily churches, along with some theaters and other organizations.
We have a small and growing team and are looking for someone who can help keep our bookkeeping, office administration, vendor records, customer records, and day-to-day business operations organized and running smoothly.
We are seeking a highly organized Part-Time Bookkeeper / Office Manager to manage day-to-day bookkeeping and office administration for the company. This role will help keep financial records, vendor bills, customer invoices, purchase records, office systems, and internal documentation accurate, organized, and up to date. The ideal candidate is detail-oriented, trustworthy, comfortable working in QuickBooks Online, and able to manage a variety of bookkeeping and office responsibilities in a small-business environment. This role reports directly to the CEO and plays an important part in maintaining operational clarity as the company grows.
- Reconcile bank and credit card transactions in QuickBooks Online
- Enter, categorize, and maintain accurate financial transactions
- Manage accounts payable and accounts receivable
- Match vendor invoices to purchase orders and project records
- Prepare vendor payments in Ramp for review and approval
- Create and send customer invoices
- Track customer deposits, progress payments, and final payments
- Maintain accurate customer, vendor, project, and expense records
- Generate basic financial reports and review them for accuracy
- Flag discrepancies, missing information, or unusual activity
- Maintain W-9s, 1099 information, receipts, and tax-related documentation
- Prepare sales tax information and coordinate filings with the company’s outside CPA or tax advisor as needed
- Support monthly reconciliations and bookkeeping closeout
- Keep office records, files, and administrative systems organized
- Maintain digital and physical business records
- Support vendor paperwork, customer documentation, purchase records, and project documentation
- Assist with scheduling, internal follow-up, and general administrative tasks
- Answer or route basic phone, email, and office inquiries as needed
- Help maintain a clean, organized, and welcoming office environment, including keeping office supplies and shared breakroom items stocked
- Track subscriptions, recurring administrative needs, and office-related services
- Help improve office systems, checklists, and documentation
- Support the team by helping ensure important administrative details do not fall through the cracks
- 3 years of experience in bookkeeping, accounting support, office administration, or business operations
- Strong experience with QuickBooks or QuickBooks Online
- Experience with accounts payable, accounts receivable, reconciliations, and financial reporting
- Comfortable with spreadsheets, email, cloud-based tools, and digital records
- Highly organized with strong attention to detail
- Able to manage multiple responsibilities in a small-business environment
- Comfortable working directly with company leadership
- Able to work independently, ask good questions, and follow through on open items
- High integrity and discretion with financial, customer, vendor, and business information
- Experience with Ramp or similar expense management platforms
- Experience with sales tax filings or sales tax documentation
- Experience with W-9s, 1099s, vendor records, and year-end accounting support
- Experience in construction, systems integration, AV/IT, trades, professional services, or another project-based industry
- Experience with purchase orders, job costing, customer deposits, progress billing, or project-based accounting
- Interest in improving internal systems, documentation, and office processes
- Part-time schedule
