Position Overview
We are seeking a hands-on and detail-oriented financial coordinator to primarily support pre-clinical ordering and reviewing both preclinical and clinical invoices. In this role, you will act as a key partner to R&D teams, ensuring vendor invoices are accurate, aligned with contracts and budgets, and processed efficiently.

Key Responsibilities
- Review and validate invoices from CROs, CDMOs, labs, clinical sites, and other vendors supporting pre-clinical and clinical activities
- Cross-check invoices against contracts (MSAs, SOWs), purchase orders, and study budgets
- Track milestone-based billing, pass-through costs, and investigator/site payments
- Partner closely with Pre-Clinical, Clinical Operations, and Procurement teams to confirm services and resolve discrepancies
- Ensure accurate coding of expenses by project, study, and cost center
- Identify inconsistencies, overbilling, or missing documentation and proactively follow up
- Support accruals and month-end close by tracking open invoices and committed spend
- Maintain organized, audit-ready documentation in a regulated environment
- Help build and improve scalable invoice review and approval processes
- Assist with financial planning by providing visibility into vendor spend and burn rate
Qualifications
- Bachelor’s degree in accounting, Finance, Life Sciences, or related field
- 5 years of experience in accounts payable, invoice review, or financial operations (biotech/pharma strongly preferred)
- Familiarity with pre-clinical research and clinical trial operations (CROs, clinical sites, lab vendors)
- Experience working in a startup or fast-paced environment is a strong plus
- Strong attention to detail and ability to spot discrepancies
- Comfortable working with incomplete information and evolving processes
- Proficiency in Excel and accounting systems (e.g., QuickBooks, NetSuite, or similar)
- Strong communication skills and ability to collaborate cross-functionally
- Experience reviewing clinical trial invoices (e.g., site payments, monitoring visits, patient-related costs)
- Understanding of biotech vendor contracts and billing structures
