Job Summary
Under the operational direction of the Contract Management and Chief Legal Counsel units, incumbent will serve as administrative and coordinator support working on various projects including, but not limited to, comprehensive contract management and tracking, filing important documents, routing contracts through for signature, responding to contract inquiries from Business Managers and contracting partners, as well as other administrative and financial projects which incumbent may be assigned. Work is performed in an environment where adherence to confidentiality, high levels of accountability, and effective communication skills are essential to successful completion of tasks. Mental ability to prioritize demands, delegate tasks to others and accomplish tasks in a challenging, fast-paced, and highly dynamic environment are required.
Responsibilities
Contract Management:
Learns under the guidance of senior team members while preparing to assume greater responsibilities. Provides administrative support to the Contract Management Team relative to the daily operations of the office. Responsible for contract lifecycle management including but not limited to the routing, tracking in the LSUHSC-NO contract databases, and distribution of contracts between the LSUHSC-NO schools, their departments, and other agencies to obtain all necessary signatures. Work is performed in an environment where adherence to confidentiality, discretion, high levels of accountability, proficient written skills, and effective verbal communication skills are essential to successful completion of tasks.
General Counsel Support:
Provides administrative support by reading, researching, reviewing, verifying, and routing correspondence, reports, and legal documents; drafting letters and documents; collecting and analyzing information; initiating telecommunications; organizing client conferences and attorney meetings; court reporters, expert witnesses, and other special functions. Maintains client confidence by keeping client/attorney information confidential. Responsible for coordinating and executing public records requests and scheduling appointments for notary services.
Department Coordination:
Provides multi-departmental coordination including professional-level administrative support in day-to-day management including creating and fulfilling purchase requests, scheduling travel requests, submitting travel reimbursement requests, and maintaining and submitting appropriate documentation for expenses. Responsible for assisting with scheduling and responding to inquiries from faculty, staff, and students. Designated alternate responsible for maintaining operations when lead is unavailable.
Min Requirements:
Bachelor's degree with two years exp as an Administrative assistant, Department Coordinator, and/or a combination thereof.
