About the Role
As our Office Coordinator, you will manage and organize all administrative and customer-related aspects of our water system projects, from estimating through final invoicing. You will serve as a primary point of contact for customers and coordinate with technicians and area well drillers to keep projects running smoothly. This is a key role for someone who thrives on taking initiative, staying highly organized, and ensuring projects progress efficiently. Clear and friendly communication is important, as you will regularly interact with customers, well drillers, and other team members.
We are looking for someone who not only excels in their core responsibilities but is also eager to assist in other areas of the business and grow within the company.
Responsibilities
- Prepare accurate estimates for water systems
- Serve as the main point of contact for customers regarding water system projects
- Coordinate installation schedules with technicians and communicate with area well drillers
- Track project progress, timelines, and necessary updates
- Prepare and issue invoices after job completion
- Maintain organized records, both digital and physical
- Provide professional, courteous customer service at all times
- Assist in other areas of the business as needed, showing initiative and flexibility
Qualifications
- Good communication and customer service skills
- Exceptional organizational abilities and attention to detail
- Self-motivated and able to manage multiple tasks effectively
- Strong problem-solving skills
- Proficiency with computers and software, including Adobe, Microsoft Word, and Excel
- Positive attitude, adaptability, and willingness to take on new tasks
- Experience in water systems, wells, pumps, plumbing, construction, or related fields is a plus
