Job Summary
We are seeking a professional and organized MedSpa Front Desk Associate to join our team. The ideal candidate will serve as the first point of contact for clients, managing appointments, providing exceptional customer service, and supporting administrative functions. This role requires excellent communication skills, proficiency in office management tools, and the ability to handle multiple tasks efficiently in a fast-paced environment. Bilingual abilities are a plus to assist our diverse clientele.
Duties
- Greet clients warmly and professionally upon arrival, ensuring a positive first impression
- Manage multi-line phone systems, scheduling appointments, and answering inquiries with courtesy and professionalism
- Utilize office management software such as QuickBooks and Microsoft Office Suite for data entry, billing, and record keeping
- Maintain accurate patient records, update client information, and ensure confidentiality
- Handle administrative tasks including filing, proofreading documents, and managing calendars using Google Workspace and other tools
- Support customer support efforts by addressing client questions or concerns promptly and effectively
- Assist with bookkeeping tasks and manage daily office operations to ensure smooth workflow
- Coordinate with medical staff regarding appointment scheduling and client follow-up as needed
- Maintain a clean and organized front desk area to promote a welcoming environment
Qualifications
- Proven experience in office management, clerical work, or administrative support within a medical or wellness setting such as dental or medical receptionists preferred
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, data entry, and calendar management tools
- Excellent organizational skills with the ability to multitask efficiently and prioritize responsibilities effectively
- Exceptional phone etiquette skills with experience handling multi-line phone systems
- Bilingual abilities are highly desirable to serve a diverse client base effectively
- Previous experience with QuickBooks or bookkeeping is advantageous
- Strong customer service orientation with the ability to communicate clearly and professionally both verbally and in writing
- Attention to detail for proofreading documents and managing sensitive information accurately
- Ability to work well under pressure while maintaining a friendly demeanor in a fast-paced environment
