What are the responsibilities and job description for the Contracts Manager position at Los Angeles Jewish Health?
- Maintain and update the Contract Status Log to track document progress.
- Ensure proper filing and organization of both hardcopy and electronic contract documents.
- Prepare and review less-complex contracts for signature and distribution.
- Manage the Contract Database (TractManager) by scanning and inputting new and renewal contracts, business associate agreements, addendums, insurance certificates, and other related documents.
- Set and track critical date reminders to manage expirables and renewals.
- Oversee vendor employee contract documentation to ensure compliance with requirements.
- Monitor daily MediTract Alerts and request updated documents from vendors (insurance, medical forms, licenses, certificates, etc.) as needed.
- Verify that new vendors are not listed on any exclusion lists and follow up on potential exclusions.
- Review and resolve any findings from exclusion report searches.
- Prepare, distribute, and track Vendor Evaluation Forms, ensuring timely signatures.
Education and Experience:
- High school diploma or equivalent required; Bachelor’s degree preferred.
- Minimum of 2 years of experience in contract management or a related field.
- In-depth knowledge of medical terminology, laws, and regulations related to long-term care.
- Familiarity with long-term care operational standards and regulations.
- Strong proficiency in Microsoft Office (required); experience with Adobe Acrobat or document creation software is preferred.
- Excellent attention to detail and organizational skills.
- Ability to communicate effectively in English, both verbally and in writing.
- Ability to make independent decisions as needed and handle confidential information with discretion.
- Strong interpersonal skills, with the ability to interact tactfully with personnel, residents, visitors, and the general public.
