About the Role
We are seeking a detail-oriented and organized Medical Case Manager to support our workers' compensation cases by coordinating medical and administrative aspects of auto accident and injured worker claims. This is a non-clinical role focused on documentation, communication, and process facilitation—no nursing license required. You'll act as a key liaison to ensure smooth case progression, timely approvals, and positive outcomes for injured workers, employers, and stakeholders.

Responsibilities
- Collect and document detailed medical histories from patients.
- Maintain accurate medical notes, progress updates, and communications in case management systems or electronic records.
- Prepare and submit treatment authorization requests (e.g., therapy, imaging, specialist visits, medications) to insurers, third-party administrators, or approvers.
- Follow up diligently on pending requests, authorizations, denials, or appeals to resolve delays and ensure timely care.
- Assist with workers' compensation administrative paperwork, including First Reports of Injury (FROI), claim forms, disability documentation, return-to-work plans, and compliance filings.
- Serve as the primary point of contact and coordinator between injured workers/patients, treating physicians/healthcare providers, employers (for work status and accommodations), attorneys (defense/plaintiff), and insurance adjusters.
- Monitor case progress, track appointments, and identify/flag barriers to recovery or return-to-work.
- Provide clear education to parties on workers' comp processes, timelines, and requirements (without offering medical advice).
- Prepare status reports, summaries, or updates for internal teams and external stakeholders.
- Ensure all activities comply with Ohio Bureau of Workers' Compensation (BWC) rules, HIPAA, and privacy regulations.
- Support return-to-work facilitation by coordinating light-duty options, restrictions, and follow-ups (administrative only).
Qualifications
- High school diploma or GED required; Associate's or Bachelor's degree in healthcare administration, business, paralegal studies, or related field preferred.
- 2 years of experience in a related field strongly preferred, such as: Workers' compensation claims processing or administrative support, Medical office experience (e.g., patient intake, charting in EHRs), Insurance claims coordination, legal/paralegal work in personal injury or workers' comp, or Medical billing/coding, patient advocacy, or disability management
- Strong organizational skills with excellent attention to detail for accurate documentation and follow-through.
- Outstanding written and verbal communication skills; comfortable interacting with injured workers, physicians, attorneys, and employers.
- Proficiency with electronic health/claims systems, Microsoft Office, and basic case management software (experience with Ohio BWC systems a plus).
- Knowledge of workers' compensation terminology, processes, and Ohio-specific regulations is highly desirable.
- Ability to handle sensitive/confidential information with professionalism and discretion.
- Reliable transportation
Preferred (but not required)
- Certification in medical terminology, workers' comp claims, or related areas.
- Familiarity with Ohio BWC rules and common platforms (e.g., Guidewire, ClaimCenter).
- Bilingual- Spanish

Work Schedule:
- Full-time position (32-38 hours per week)
- Typical clinic hours are 9:00 AM to 6:00 PM Monday-Thursday and 9:00 AM to 12:00 PM on Friday's, but this position will offer slight flexibility in start and end times
