Executive Assistant

Location: Hurst, Texas

Employment Type: Full-Time (37.5 hours/week)

Compensation: $18.00 per hour

About the Opportunity

Scouting America is seeking a highly organized, customer-focused Executive Assistant to support the day-to-day operations of our council. This position is ideal for someone who enjoys balancing administrative responsibilities, coordinating programs and events, and providing exceptional service to staff, volunteers, and the community.

As a key member of our team, you'll work across multiple departments to help ensure efficient office operations while supporting programs that positively impact youth and families.

What You'll Do

Administrative & Office Support

  • Provide administrative support to council leadership and staff.
  • Serve as backup for front desk reception and customer service.
  • Coordinate meeting logistics, conference rooms, and facility reservations.
  • Manage internal and external printing projects, including vendor coordination and pickups.
  • Maintain organizational records and filing systems.
  • Assist with employee onboarding activities.
  • Prepare operational reports and dashboard metrics.

Communications & Customer Service

  • Manage distribution lists and coordinate mass communications, including:
  • Promotional email campaigns
  • Membership communications
  • Text messaging campaigns
  • Surveys
  • Council and district newsletters
  • Monitor social media platforms and respond to reviews and inquiries professionally.
  • Compile customer feedback reports.
  • Manage incoming voicemail messages and route inquiries appropriately.
  • Maintain Certificates of Insurance (COIs).
  • Enter and maintain near-miss and property incident reports in Riskonnect.

Program & Event Administration

  • Coordinate property and facility reservations.
  • Manage trailer reservations, check-in/check-out procedures, and damage reporting.
  • Receive, track, and process Campership applications, approvals, and payments.
  • Support National Camp Accreditation Program (NCAP) and Black Pug event administration.
  • Update Leader Guides and process calendar changes.
  • Coordinate training verification and reservation requirements for:
  • Safeguarding Youth Training (SYT)
  • Introduction to Outdoor Leader Skills (IOLS)
  • Basic Adult Leader Outdoor Orientation (BALOO)
  • Track attendance and document supply usage.
  • Coordinate electronic flyer distribution for recruitment and joining events.
  • Prepare and distribute materials for council and district programs and events.

Qualifications

Required

  • High school diploma or equivalent.
  • Previous administrative, executive assistant, or office support experience preferred.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Strong organizational, time management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong attention to detail and ability to meet deadlines while managing multiple priorities.
  • Ability to work independently and collaboratively in a team environment.

Preferred

  • Associate degree.
  • Bilingual (Spanish/English).
  • Experience with Microsoft Teams, SharePoint, CRM platforms, event management systems, or similar software.
  • Experience learning and using organization-specific software platforms.
