The Town of Londonderry, NH, is seeking a Records Clerk. This position reports directly to the Captain of Professional Standards and Legal Division or designee. The Records Clerk is responsible for maintaining the integrity, security, and accessibility of police records while providing exceptional customer service to the public, law enforcement agencies, and the courts. The position performs a variety of clerical, records management, data entry, and administrative support functions essential to the daily operation of the Police Department.

WORK SCHEDULE AND FLSA STATUS:

· Assigned to a Regular, Full-Time, M-F, 8:00 am – 4:00 pm, 40-hour workweek.

· This is a non-exempt position and is eligible for overtime compensation under the Fair Labor Standards Act (FLSA).

KEY RESPONSIBILITIES:

· Maintain and organize police reports, arrest records, accident reports, warrants, protective orders, and other departmental records.

· Ensure the confidentiality, security, and proper dissemination of criminal justice records in accordance with applicable laws and department policy.

· Process and prepare arrest packets, subpoenas, permits, warrants, and court-related documentation.

· Respond to records requests from the public, attorneys, courts, and law enforcement agencies.

· Provide customer service at the public service counter, by telephone, and through electronic communications.

· Enter, retrieve, and update information within records management systems and criminal justice databases.

· Scan, archive, redact, and electronically manage departmental records.

· Maintain departmental statistics and assist with required state and federal reporting.

· Operate standard office equipment and specialized criminal justice software.

· Performs other duties as assigned.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:

· Must be a U.S. Citizen with a minimum age of 18 years.

· High school diploma or GED required.

· Two (2) years of clerical, administrative, records management, or customer service experience preferred.

· Experience working in a professional office environment requiring accuracy, organization, and attention to detail.

· Equivalent combinations of education and experience may be considered.

CERTIFICATION/LICENSE REQUIREMENTS:

  • Valid New Hampshire Driver's License.
  • Ability to obtain and maintain required CJIS/NCIC certifications.
  • Justice of the Peace and/or Notary Public certification is desirable but not required.

KNOWLEDGE, SKILLS, ABILITIES AND OTHER REQUIREMENTS:

· Work requires the ability to listen and communicate effectively, both in writing and verbally.

· Maintain professional appearance and courtesy at all times.

· Manage time effectively.

· Read and understand the English language at a level and speed adequate to perform the job.

· Maintain confidentiality.

· Analyze issues, facts, and situations using reason and logic.

· Operate a computer, scanner, and other office equipment.

· Work flexible hours and be available for emergency situations.

OCCUPATIONAL EXPOSURES:

· Work is performed in an office environment.

· Work may be performed under highly stressful conditions and/or with assigned deadlines.

· Work involves extended periods of sitting, occasional standing and/or walking, light to moderate lifting of objects up to 10-25 pounds, and occasional heavy lifting.

SELECTION PROCESS/APPOINTMENT:

· Involves, but is not limited to a written and/or oral examination, extensive background investigation, criminal history check, medical examination, drug test, polygraph examination, oral interview board comprised of members appointed by the Chief of Police and/or the Professional Standards and Legal Division Captain, interview with the Chief of Police.
