We are seeking an experienced Executive Administrative Assistant to support the Chief Operating Officer of a growing organization. This is a high-visibility role for a polished, proactive professional who can operate as a trusted partner to senior leadership.
This is not a traditional calendar-heavy EA position. The ideal candidate will have a strong business mindset and the ability to work cross-functionally, manage projects, coordinate priorities, and keep initiatives moving forward.
The right person will be highly organized, comfortable working with senior executives, and naturally proactive β someone who anticipates needs, follows through, and looks for ways to make the executive and organization more effective.
Responsibilities:
- Provide high-level administrative and operational support to the COO
- Manage a complex calendar, meetings, travel, and executive priorities
- Coordinate travel, site visits, meetings, and logistics
- Track projects, action items, deadlines, and follow-ups
- Coordinate cross-functional initiatives and special projects
- Prepare presentations, reports, meeting materials, and correspondence
- Serve as a liaison between the COO and internal and external stakeholders
- Anticipate needs and proactively resolve scheduling, communication, and operational challenges
- Maintain confidentiality and discretion with sensitive information
- Provide occasional flexibility outside of normal business hours and during executive travel
Qualifications:
- 5 years of Executive Assistant experience supporting senior or C-level leadership
- Experience working in a fast-paced, high-expectation environment
- Strong project coordination or project management skills
- Ability to work cross-functionally and manage multiple priorities
- Exceptional attention to detail and follow-through
- Excellent written and verbal communication skills
- Strong executive presence, professionalism, and emotional intelligence
- Highly proactive and comfortable working independently
- Proficiency with Microsoft Office, Outlook, Teams, and related systems
- Demonstrated career stability
