Job Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for clients and visitors, managing front desk operations with efficiency and warmth. This role requires excellent communication skills, strong organizational abilities, and proficiency with office management tools. The successful applicant will contribute to a welcoming environment while supporting administrative functions across the office setting.

Duties

  • Greet clients, visitors, and staff in a courteous and professional manner
  • Manage multi-line phone systems, directing calls appropriately and taking detailed messages
  • Handle appointment scheduling and calendar management using various digital tools
  • Maintain accurate data entry, filing, and record-keeping systems
  • Utilize Microsoft Office, Google Workspace, and other software for document creation, proofreading, and correspondence
  • Process payments and manage billing using QuickBooks or similar accounting software
  • Support office management tasks such as supply inventory, mail distribution, and document organization
  • Provide exceptional customer service by addressing inquiries promptly and professionally
  • Assist with administrative tasks including typing, proofreading, and data entry to ensure smooth office operations

Skills

  • Proven experience with front desk responsibilities in an office environment
  • Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry skills
  • Familiarity with multi-line phone systems and phone etiquette
  • Ability to manage calendars efficiently and handle scheduling conflicts effectively
  • Bilingual abilities are a plus for serving diverse clients
  • Excellent organizational skills with attention to detail in filing, proofreading, and record management
  • Office management or clerical experience preferred; personal assistant or medical/dental receptionist experience is advantageous
  • Knowledge of bookkeeping or QuickBooks is beneficial for handling billing tasks
  • Strong customer service orientation with effective communication skills and professionalism at all times
  • Ability to multitask efficiently while maintaining a friendly demeanor in a fast-paced environment

Job Types: Full-time, Part-time, Temp-to-hire

Pay: $21.60 - $26.02 per hour
