Hotel Sales Coordinator

Location: Hilton Bayside Campus

Life as a Sales Coordinator:

• Work closely with all hotel departments by communicating and coordinating all sales information.
• Serve the customer by understanding their needs and recommending appropriate features and services that best meet their needs.
• Execute and support the operational aspects of business booked (build group masters, enter rooming lists, preparing and distribute group resumes, maintaining customer correspondence).
• Manage group inventory, reviewing pick-up weekly and follow-up on cut-off dates.
• Maintains Sales files in an organized fashion and as per specified standards.
• Demonstrates awareness of established goals for each department and the role played in Sales process to achieve and/or exceed these goals.
• Answers phones; qualifies incoming inquiry calls and ensures all inquiries are dealt with accurately timely and in a professional manner.
• Maintains Sales system (i.e. Delphi etc.) docs and ensures consistent accurate and working properly.
• Assists managers on creative projects including sales blitzes, client events, promotional items.
• Maintains timely and effective paper flow and communication between sales and other departments.
• Assists guests and clients with reservation change requests etc. and communicates group changes to necessary departments.
• Conducts site inspections for the department as needed.
• Enters group pickup in Delphi monthly.
• Maintains constant paper flow of thank you letters and billing for groups/functions and distributes accordingly to client and maintains file records.
• Maintains sales collateral to ensure office is properly stocked at all times with sales packets, collateral, supplies, and promotional items.
• Organizes in-house deliveries, amenities, welcome letters, transportation schedules, etc. as needed.
• Others items as they relate to the Sales and Marketing effort of the hotel as well as any other items as needed by entire management staff.
• Any other duties as assigned by DOS specific to respective property.

What we're looking for:

• Bachelor of Science degree in Business or related field; 2-4 years of related experience may substitute for a college diploma.
• Excellent communication, both written and verbal, skills required.
• Requires proficient computer abilities, including but not limited to Microsoft Office products.
• Ability to be adaptive, people-oriented, detail oriented, customer focused, enthusiastic and perform with integrity.
• Strong organizational and project management skills.

First, you will learn about our hotel, inside and out! From there, you'll work closely with the hotel operations team, sales team, and our guests and clients. As you process advertising contracts, internal work orders, client posting instructions, and all other paperwork associated with completing the sales process, you will see your organizational skills shine! As your work progresses, you'll play an important role in the hotel sales efforts.
