Event Captain
The Event Captain at Sendero Ranch is a role within the Food and Beverage Team that serves as the on-site main point of contact for daily event operations. While monitoring event timing and providing regular updates to their F&B colleagues, the Event Captain is primarily responsible for coordinating room setups, managing breaks, and providing support to Operations Specialists to ensure that events run smoothly.
Working in close partnership with both Ranch and Leadership Program teams, the Event Captain interacts with the entire F&B team while also collaborating with cross-functional departments such as Maintenance, Housekeeping and Security. The role requires a highly responsive and flexible approach, with a strong commitment to delivering outstanding customer service.
This is a fully on-site position in Beckwourth, CA with working hours typically ranging from 6:00 a.m. to 11:00 p.m., Monday through Friday.
General Responsibilities:

Collaborates closely with Operations Specialists and the Leadership Program team (stakeholders) to ensure the successful execution of events, and to provide the highest level of customer service to all guests
- Remains apprised of agenda changes to ensure stakeholder satisfaction
- Stays in close proximity to seminar participants to enable efficient and timely assistance
- Acts as liaison between stakeholder and vendor partners
- Monitor and respond to text groups and WhatsApp chats
- Prompt and professional verbal and text communications
- Relays and follows through on stakeholder communications
- Reset all event spaces before, during and after seminars
- Ensures rooms are set and ready for participants' use
- Conducts ongoing inspections prior to and throughout event
- Execute seminar setup and closing procedures
- Attend to seminar & offsite group breaks
- Communicate in the Sendero Servers WhatsApp chat to keep the FOH team informed

Maintains organization of seminar, apothecary, mercantile, and office supplies
- Updates inventory spreadsheet as needed
- Communicate to Operations staff any supplies that need to be ordered
- Work collaboratively with other Ranch teams:
- Housekeeping - Inspect cleanliness of event spaces. Inspect cabins as needed
- Check that bathrooms are well stocked and ready for use
- Maintenance -Follow up as needed on maintenance requests
- Security & Medical - communicate any relevant info and developing situations
- Partner with F&B colleagues to ensure seamless delivery of meals
- Help to coordinate and prepare for activities per the event agenda
- Listen to or attend the weekly Event Review Meeting, when feasible
- Excellent communication and leadership skills; possess the ability to collaborate effectively with cross-functional teams
- Self-disciplined; can take the lead and ensure the completion of tasks
- Flexibility to work day or evening shifts as needed
- Ability to lift 45 lbs, move furniture, and work in an indoor/outdoor environment
- Ability to drive company vehicles when necessary
- Willingly receive and give feedback; you are open about what’s working and what needs to improve; you admit mistakes openly and share learnings widely
- Excellent organizational and multitasking abilities, with attention to detail and a commitment to delivering flawless service for an exceptional guest experience
