We are seeking a trustworthy, conscientious, highly organized and professional Office Administrator to join our team. The ideal candidate will be responsible for managing daily office operations, providing exceptional customer service, and supporting various administrative functions. Responsibilities
- Manage front desk operations, including greeting visitors and handling inquiries with professional phone etiquette
- Operate multi-line phone systems to direct calls and take messages accurately
- Under the supervision of the attorney, perform varied administrative support functions including preparing and processing legal documents, typing pleadings and correspondence, maintaining case files and providing general administrative support
- Assist with calendar management, appointment scheduling, and coordinating meetings for staff and clients
- Provide customer support through phone, email, and in-person interactions
- Support bookkeeping activities such as invoicing, billing, and basic financial record keeping
- Ensure the smooth operation of office procedures by organizing files and maintaining office supplies
Skills
- Proficiency with Microsoft Office Suite
- Excellent organizational skills with the ability to prioritize tasks effectively
- Experience in clerical work, data entry, filing, proofreading, and calendar management
- Exceptional customer service skills with professional phone etiquette
- Previous experience in office management or administrative roles preferred
- Strong time management skills to handle multiple responsibilities efficiently
- Task oriented by being able to focus staying on document preparation and with the ability to not be on your personal phone during working hours
This position offers an opportunity to be reassessed after 6 months for a raise in pay providing the applicant proves to be task oriented contributing heavily to the success of the company.
