JOB TITLE: Administrative Assistant REVISED DATE: 4/1/26

DEPARTMENT: Sales and Marketing
JOB PURPOSE:
The Administrative Assistant performs a variety of administrative tasks such as word processing, coordinating travel arrangements, preparing and distributing information, and assisting with special events to support the operations of the sales and marketing function.
DESCRIPTION OF ESSENTIAL DUTIES
Prepare correspondence. Perform word processing, editing/proofreading, printing, copying, and document distribution.
Prepare, copy, and distribute a variety of sales/marketing reports such as the expense report, budget report, and various sales reports. Assemble sales report by compiling, consolidating, formatting, and summarizing information, graphs, and presentations.
Relay information and answer telephone calls for marketing/sales personnel. Provide information to callers or take messages, as required. Gather and distribute voice mail, facsimile, and email messages for marketing/sales personnel.
Assist with travel arrangements for sales and marketing personnel. Arrange items such as air travel, hotel, rental cars in a manner that fulfills travel schedule requirements at the least possible cost to the company.
Work with accounting on approving invoices for: showrooms, executives, sales reps, and marketing expenditures.
Coordinate with marketing vendors. Order items, ensure proper delivery, and maintain inventory of promotional and sales materials.
Coordinate registration for various conferences.
Supports sales presentations by assembling images, videos, and data; compiling account and competitor analyses.
Must have a valid driver's license and be able to drive.
Travel to photo shoots, trade shows, and special events is required.
Perform other miscellaneous duties as assigned.
DESCRIPTION OF NONESSENTIAL DUTIES
Organize archival materials.
Assist with organization of digital media.
QUALIFICATION REQUIREMENTS: (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.)
· Requires education generally equivalent to a high school diploma. It is desirable for the
incumbent to have received specific training relating to secretarial duties and required
software applications.
· Requires a minimum of three years progressively responsible administrative experience.
· Requires the ability to effectively deal with diverse personalities to accomplish work goals.
· Requires strong written and oral communication skills to communicate with sales and marketing management, dealers, sales representatives, and coworkers.
· Requires the ability to function as a team member and contribute to group goals.
· Requires the ability to use a personal computer and use various software packages, spreadsheet, and word processing software. Requires the ability to use a variety of office related equipment such as a telephone, computer printers, calculator, photocopier, and a facsimile machine.
PROTECTIVE CLOTHING REQUIRED:
The employee must wear safety glasses and safety shoes, as required, when working in production areas.
