Role Summary
The Center Operations Specialist (COS) is an essential, high-accountability position responsible for maintaining operational efficiency, ensuring compliance with state regulations, and providing critical administrative and classroom support. The COS acts as the primary "floater," ensuring that our center's commitment to our gold-standard staffing ratios is upheld at all times. This role is crucial for minimizing staff burnout, supporting new teacher training, and allowing the Administrator to focus on strategic management. The COS must be a physically ready, quick-moving professional who prioritizes child safety and staff wellness.
Key Responsibilities
1. Compliance and Ratio Management
- Mandatory Ratio Coverage: Act as the immediate, trained substitute to cover full or half-day absences for Lead and Assistant Teachers across all age groups (Infant, Toddler, Preschool) to maintain mandated state ratios without disruption.
- Supervision: Maintain active supervision and professional engagement in all classrooms when filling in, adhering strictly to the Center's Ethical Conduct Policy.
- Scheduled Breaks: Ensure all full-time staff members receive guaranteed, state-compliant breaks, including lunch breaks and necessary bathroom breaks.
2. Administrative and Operational Support
- Document Management: Assist the Administrator with filing, organizing, and tracking confidential paperwork, including enrollment files, staff records, and billing documentation.
- Office Support: Handle general office tasks, including managing the supply inventory, organizing common areas, and preparing meeting materials for the Administrator.
- Client Communication: Serve as an authorized communication channel for routine parent questions, escalating complex or sensitive issues immediately to the Administrator.
3. Facility Management & Support
- Meal Preparation: Manage the preparation and serving of approved, nutritious meals and snacks for all children in accordance with health and licensing standards.
- Operational Cleaning: Maintain high standards of facility hygiene by performing daily and weekly tasks such as mopping common halls, cleaning staff bathrooms, and maintaining the staff break area (including cleaning the fridge).
- Organization & Clutter Control: Systematically organize and maintain staff closets, storage areas, and general clutter to ensure the center remains professional and compliant with safety codes.
- Facility Readiness: Ensure all classrooms and common areas meet the cleanliness and safety standards before and after school hours, assisting with minor environmental tasks as directed by the Administrator.
4. As-Needed Operational Support
- Transportation Support (Optional): May require driving a company vehicle for student transport (e.g., field trips or school pick-ups/drop-offs) if requirements are met.
- Emergency Readiness: Must be fully prepared to execute rapid, physical emergency response protocols, including evacuation and safety management, as outlined in the Physical Readiness Policy Addendum.
Qualifications
- A minimum of 1 year of experience in a licensed childcare facility or similar setting is preferred but not required.
- Must pass an extensive background check and meet all state-mandated training requirements
- Must be physically capable of rapid movement, lifting a child to 40 pounds, and remaining active for the duration of the shift, as per the center's Emergency and Physical Readiness Policy.
- Demonstrated a High level of reliability, professionalism, commitment to the center's educational philosophy, including fostering mindfulness and holistic development, and strict adherence to company policies.
- Excellent communication and problem-solving skills, with the ability to maintain calm during high-stress situations.
