We are seeking a dynamic and dedicated Administrative & Operations Coordinator to join our team.
Little Eagles Nest is a small, independently owned early childhood program with locations in Ardsley and Dobbs Ferry, NY. We are looking for a highly organized, dependable, and proactive Administrative & Operations Coordinator to help our owners/directors manage the day-to-day administrative needs of our growing childcare programs.
This is an ideal position for someone who enjoys organization, communication, problem-solving, and keeping a busy small business running smoothly. While you will work closely with our childcare team, this is primarily an administrative and operations position rather than a classroom teaching role.
What You’ll Do
You will work directly with the owners/directors and help coordinate administrative responsibilities across both Little Eagles Nest locations.
Responsibilities may include:
- Supporting general office and administrative needs across both locations
- Helping with family communication, enrollment, tours, and new-family paperwork
- Keeping child, staff, and program records organized and up to date
- Assisting with scheduling, calendars, staff documentation, and onboarding
- Helping prepare and maintain required childcare and licensing paperwork
- Supporting billing, basic recordkeeping, and administrative follow-up
- Coordinating supplies, purchasing, vendors, and other day-to-day operational needs
- Assisting with newsletters, events, recruitment, and special projects
- Helping improve organization and administrative systems as the programs continue to grow

- Can create and maintain spreadsheets, trackers, checklists, and digital files
- Is comfortable making phone calls and following up with families, employees, vendors, and agencies
- Takes initiative rather than waiting to be told about every individual task
- Is professional but warm and approachable
- Enjoys creating systems and improving organization
- Can move between our Ardsley and Dobbs Ferry locations as needed
Preferred Experience
Experience in one or more of the following is helpful:
- Childcare or preschool administration
- School administration
- Medical or professional office administration
- Small-business operations
- Executive or administrative assistance
- HR or employee onboarding
- Scheduling and record management
Prior childcare experience is helpful but not required. We are more interested in finding someone exceptionally organized, trustworthy, and capable of learning our systems.
Schedule
Approximately 25–30 hours per week, primarily Monday through Friday during daytime business hours.
We are looking for someone who can maintain a fairly consistent weekly schedule while also having some flexibility when administrative needs arise.
This position will involve working between our Ardsley and Dobbs Ferry locations, which are only a short distance apart.
