Responsibilities
- Manage complex calendars and schedule appointments, meetings, and travel arrangements with precision and attention to detail
- Handle incoming calls using multi-line phone systems, directing inquiries professionally and courteously while maintaining excellent phone etiquette
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents to ensure clarity and accuracy
- Coordinate office operations including filing, data entry, record keeping, and maintaining office supplies to support seamless workflow
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and manage invoices
- Serve as a front desk representative by greeting visitors, managing visitor logs, and providing exceptional customer service
- Support executive team with personal assistant duties such as calendar management, task prioritization, and project coordination
Experience
- Proven experience in office management or administrative roles with a strong background in clerical tasks and customer support
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications for productivity and communication
- Experience with data entry, proofreading, filing systems, and maintaining organized records
- Bilingual ability is highly desirable to effectively communicate with diverse clients and team members
- Familiarity with office equipment including multi-line phone systems and technical proficiency in computer literacy is essential
- Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required
- Strong organizational skills combined with excellent time management abilities to prioritize tasks efficiently
