We are seeking an Office Manager to oversee the day-to-day operations within our fast-paced outpatient mental health practice. This position is pivotal in ensuring that both staff and patients receive the highest level of service while embodying our core values every step of the way. Key Responsibilities
Reception & Client Services:
- Lead front desk operations by greeting patients with warmth and professionalism, embodying Care & Respect.
- Schedule and confirm patient appointments, track cancellations/no-shows, and collect payments in alignment with office procedures, ensuring accurate and efficient service.
- Handle patient inquiries, assist with appointment scheduling, and provide general office support, consistently demonstrating Company Pride in your work and interactions.
- Oversee the use of the EMR system, ensuring accurate patient records, appointment tracking, and billing.
Team Leadership & Supervision:
- Supervise and motivate front office staff, ensuring they align with the practice’s core values and high standards.
- Lead by example, demonstrating the Show Up mentality by being present, available, and dependable.
- Encourage a culture of learning and development by providing training opportunities and fostering a collaborative work environment where staff can Learn & Grow.
- Address operational issues promptly and professionally, always striving to Go Above & Beyond in resolving challenges.
- Operational Support:
- Collaborate with site supervisor to implement new processes ensuring the office runs smoothly and efficiently.
- Collaborate with COO and office managers from other locations to identify ways to improve operations and patient experience.
- Maintain a clean, organized, and welcoming environment for both patients and staff, promoting Company Pride in the practice’s physical space.
- Be a liaison between the billing department and clients to ensure smooth patient care without delays.
Qualifications & Skills:
- Proven experience in office management, preferably in a healthcare or mental health environment.
- Strong proficiency in office operations, scheduling, insurance processes, and EMR systems.
- Excellent leadership skills, with a focus on motivation, team collaboration, and conflict resolution.
- Proficient in Microsoft Office Suite (Excel, Outlook) and experience with EMR software.
- Strong organizational skills, able to prioritize multiple tasks in a fast-paced setting while maintaining attention to detail.
- Outstanding communication skills, with the ability to work closely with patients, staff, and management.
- Dependable, trustworthy, and adaptable to changing needs, always demonstrating the Show Up mentality.
- Knowledge of insurance verification, billing, and credentialing processes is desired but not required.

Additional Requirements:
- Must be available to work evening shifts as needed.
- Ability to manage high patient traffic and effectively prioritize client needs in a busy office setting.

Pay: $15.00 - $17.00 per hour
