Position Summary

The Administrative Support for Care Coordination position plays an important role in creating a welcoming and supportive experience for our clients, staff, and community partners. This position serves as a friendly and professional point of contact for clients and outside organizations, responds to inquiries, gathers and maintains important information, verifies insurance coverage and eligibility, schedules appointments, and provides general administrative support to the agency.

All responsibilities are performed in accordance with agency policies and procedures, with a focus on providing respectful, timely, accurate, and compassionate service. Additional clerical and administrative duties may be assigned as needed.

Key Responsibilities

  • Client and Community Communication
  • Communicate professionally and courteously with individuals both inside and outside the organization. Represent List Psychological Services in a positive and helpful manner when interacting with clients, families, community partners, and other external sources. Communication may take place in person, in writing, by telephone, or electronically.
  • Telephone and Scheduling Support

Answer incoming telephone calls, assist callers with questions and requests, schedule future appointments, provide appropriate information, and direct or forward calls to the appropriate staff member or department.

  • Intake, Screening, and Insurance Verification

Complete telephone intakes and initial service screenings. Verify insurance coverage and eligibility for new clients, assist with updates or changes to client information, and support internal case transfers as needed.Provide timely follow-up and support to office reception, clinical staff, clients, and other team members regarding client information, insurance questions, scheduling needs, and general inquiries.Accurately record, compile, enter, organize, and retrieve information by hand and/or through computer systems.Enter, record, store, update, and maintain information in written and electronic formats while ensuring information is handled accurately and appropriately.Coordinate and maintain schedules for therapists, physicians, rooms, and transportation of agency materials to help support the smooth and efficient operation of the agency.Assist the billing department with a variety of activities, including submitting agency charges to third-party payers, following up on unpaid or rejected claims, and helping ensure timely receipt of payment. Assist with monthly and special billing invoices, as well as follow-up related to claim rejections and unpaid claims.Work collaboratively with supervisor(s) to identify and address system or workflow issues related to assigned responsibilities and interactions with other departments. Contribute ideas and information that may help improve communication, efficiency, and service.Generate reports and calculate or compile data as requested.Participate in monthly staff meetings, supervision meetings, and other meetings as requested or needed.General Responsibilities

  • Use and disclose protected health information only as permitted by the employee's job responsibilities, agency policies, and/or authorization from a supervisor.
  • Maintain Confidentiality

Conduct conversations involving personal health information with staff, clients, and family members in a manner that protects privacy and minimizes the possibility of inadvertent disclosure.

  • Training and Professional Development

Complete required privacy training and other training requirements established by credentialing organizations (such as COA and LARA) or funding entities.Promptly report suspected violations of agency policies and procedures and/or the terms of applicable Business Associate Agreements to the appropriate supervisor.Participate in List Psychological Services' Continuous Quality Improvement (CQI) program and processes. Share constructive feedback, identify opportunities for improvement, and contribute ideas that support the continued growth and development of the agency and enhance the experience of our staff and clients. Follow all List Psychological Services policies, procedures, and applicable requirements while carrying out assigned responsibilities. Perform other duties and responsibilities as assigned to support the needs of the agency, our staff, and the clients we serve.

Word processing and computer experience

Pay: $15.00 - $17.00 per hour

Work Location: In person
