Job Description
Job Summary: To provide receptionist services for the Executive Department as well as Residents.
Job Duties
- Answers high volume of incoming and external telephone calls at the concierge desk.
- Provides exceptional customer relations to all guests and visitors.
- Receives, records and handles all deliveries, packages and prescriptions and calls residents to advise delivery of medication.
- Confirms housekeepers’ entry to apartments and calls residents to confirm. Records and distributes keys.
- Supports Program Director with clerical duties. i.e. copy, email and distribute daily chronicle, monthly calendar and all other flyers; communicates to residents, design programs for special events, creates all sign-up sheets for events and trips for sign-up book, sends out monthly birthday invites and prints out corresponding daily and monthly Gazette for each resident and anything else Program Director may require. Accepts reservations and payments for tips.
- Screens all visitors and contractors insuring they have authorization to enter units by confirming with residents by phone. When a contractor is identified, records visits, advises staff and directs the contractor to proper staff.
- Addresses residents’ complaints in a professional manner; then processes same immediately to proper staff.
- Maintains information for each resident for easy access i.e. medical, phone information, unit emergency contacts, etc.
- Responds appropriately to medical beeper when activated.
- Distributes all internal mail into open boxes.
- Collects and maintains residents’ personal information for Wellness Nurse and provides clerical support.
- Follows established process when interested clients need information about Lions Gate and makes the proper referral.
- Assists residents with copies, fax, etc.
- Directs residents to appropriate staff for dinner/menu requests and orders. Takes resident dinner/menu requests and communicates orders to kitchen staff.
- Alerts residents of alarms and pertinent information through the use of E-blast system on Channel 2.
- Maintains and records reservations for suite rentals
- Contacts 5Star Lively for activation, swap and deactivation of all devices given to residents; includes troubleshooting when needed.
- Maintains record of all billable services and forwards to A/P Dept along with all back up information, i.e. all outings and services related to Programming, suite rentals, additional keys & Fob requests and snow removal.
- *Maintains the Touchtown TV System. Updates exercise programs and uploads new menus weekly for TV, along with any other announcement which may need to be communicated.
- Performs other related duties as directed by supervisor or designee.

Job Requirements
- High School Diploma or equivalent.
- Minimum 1 year experience working in a receptionist role.
- Ability to interact well with the public.
- Good phone skills and etiquette.
- Adheres to company and departmental personal appearance and dress code policy. Reports to work in a clean, neat and professional appearance.
- Wears identification at all times while on duty or representing Lions Gate at functions.
- Demonstrates dependability and punctuality by reporting to work on time as scheduled.
- Complies with all Lions Gate policies regarding ethical business practices as outlined in the Corporate Compliance Plan.
- Maintains and ensures compliance with current requirements, including all State and Federal regulations, including OSHA safety protocols and standards.
- Completes annual mandatory education requirements (Corporate Compliance, HIPAA, in-service, etc.)
- Assumes accountability for policies and procedures as contained in the Employee Handbook.
- Maintains a positive attitude while providing quality services to resident/family members.
- Follows the “Preventing Resident Rights/Abuse” policies and procedures and follows the established incident reporting procedures.
- Maintains and ensures resident and facility information as confidential material at all times.
- Works at maintaining a good rapport and cooperative working relationship with departments, staff, co-workers and management.
- Represents Lions Gate in a positive and professional manner at all times.
- In identified areas, maintains and obeys the dietary laws for maintaining a Kosher environment.
- Attends departmental meetings and in-services as scheduled and required.
- Accepts assignments in a cooperative and positive manner.
- Keeps work area neat, clean and orderly.
- Performs all duties of job to assure resident and personal safety and the protection of co-workers and facility property.
