We're growing! Due to increased donation volume and the continued growth of our organization, the Lions Eye Bank of Wisconsin is excited to add 2 new, Part-Time, Clinical Services Associate position to our team.

Do you enjoy solving problems, working with medical records, and making a meaningful difference behind the scenes in healthcare? In this newly created role, your attention to detail and organizational skills will directly support the gift of sight through eye donation.

Part-time (25 hours per week)

· Must be available to work five morning/daytime shifts per week (5 hours each)

· Must be available to work at least two full weekends a month (Saturday & Sunday)

· Must be available to work a minimum of two Mondays per month.

Location: Madison, Wisconsin. This position is primarily based in our Madison office with the potential for a hybrid work arrangement following successful onboarding and demonstrated job proficiency, based on departmental and business needs.

As a Clinical Services Associate, you'll work closely with healthcare professionals, donor recovery teams, and internal staff to ensure donor records are accurate, complete, and compliant with regulatory standards. This position is ideal for someone who thrives in a fast-paced healthcare environment, enjoys investigative work, and is passionate about quality, accuracy, and service.

What You'll Do

  • Coordinate the collection, review, and management of medical records and donor documentation.
  • Support donor eligibility determination by gathering and verifying required medical information.
  • Collaborate with hospitals, ambulance agencies, medical examiner offices, physicians, and partner organizations to obtain time-sensitive information.
  • Maintain accurate donor records and documentation in accordance with organizational policies and regulatory requirements.
  • Assist with quality assurance, regulatory compliance, audits, and continuous quality improvement initiatives.
  • Monitor documentation for accuracy, completeness, and compliance with FDA, EBAA, and organizational standards.
  • Provide administrative and operational support to the Quality Services team.
  • Participate in training, meetings, and process improvement activities.
  • Perform other duties as assigned to support departmental and organizational goals.

Required Qualifications

  • High school diploma or equivalent.
  • Experience in a healthcare, medical office, customer service, health information, or related environment.
  • Excellent organizational skills and strong attention to detail.
  • Effective verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with computer systems and Microsoft Office applications.

Preferred Qualifications

  • Experience with electronic medical records (EMR), including Epic.
  • Experience in health information management, medical records, EMS, emergency medicine, ophthalmology, organ, eye, or tissue donation.
  • Knowledge of medical terminology or regulatory healthcare environments.
